hey what's going on guys Nick here in this video I'm going to talk a little bit about how to handle Communications for uh seven figure agencies specifically how I do it and how I've seen a lot of other people do it so first things first what do I mean by Communications well um as a marketing agency a Content agency or any type of ongoing services provider you are going to get a ton of random ass emails you're going to get them from your clients people maybe trying to pitch you on Services themselves you're going to get them from uh prospects and how you manage email at scale is really the make or break between an agency that you know can continue growing after a certain point and then agency that's just bottlenecked by a bunch of random ass queries so obviously the first thing is uh in the first place you should be setting up expectations and infrastructure to avoid yourself being constantly freaking bombarded by a million goddamn emails every single day about silly pointless uh you should do client education you should have your onboarding process be comprehensive and thorough you should have all that stuff kind of like done ahead of time but what I'm going to deal with in this video is okay like assuming that we've done all that uh what next how do we actually handle the coms for an agency that does you know a million dollars a year or more and so there are many ways to do it here's how I did I used one of two tools and I've actually experimented with both and they both seem to work quite well one is called missive and what missive is it's basically a tool that allows anybody in your team to connect to one of like 50 different mailboxes and then it routes all of the incoming email from each of those mailboxes into a central mailbox but it allows your team to respond to every person as if they are the that specific email address so this is really helpful if you have like an info at a customer support at like a hello at maybe like a lead generation campaign this just allows one person to be the single locus of that whole thing meaning that you could hire either a virtual assistant or maybe you have a secretary or an executive or something like that um they are then responsible for everything um and then the really cool part about missive and the reason why I ended up picking it over like a close competitor which is called front is of allows you to use artificial intelligence to scaffold a vast majority of your replies so instead of you having to manually write a reply to something it uses AI to take into account the context from previous conversations that you've had with that person and then it also allows you to combine uh Snippets and sort of templating functionality that means that like at the end of the day an email that should normally take between 5 to 10 maybe 15 minutes to respond to can now be done in like 30 seconds and then because of the way that the infrastructure and the architecture of this messaging app is set up uh I don't have to do it nobody else on my team has to do it except for the person that we hire specifically to do so this means in practice for a million dollars a year you just have one assistant or executive that you know maybe you're paying like15 or $20 an hour or something like that somebody that knows their stuff somebody that's very competent but somebody that still handles literally all of the incoming and outgoing Communications for your agency except for stuff that might be specifically addressed to you here is what it looks like I'll leave you guys to you know go through the website and check out the app itself um on your own time I'm not affiliated with these guys at all I have no real personal interest in advertising this I just wanted to uh you know talk about something today and I had a couple questions about how I manage cons for the agency that's why I'm talking about this uh if they do have an affiliate program missive sign me the hell up man I love your guys stuff here's what it looks like when you're actually in the platform so on the left hand side here you have like a catchall inbox draft so very similar to just like a Gmail interface sent all trash so on and so forth the parts that matter are this team inboxes functional and what team inboxes allow you to do is connect like 20 different mailboxes and they just dump all of the incoming and outgoing email into this mailbox missive then tags every email with the mailbox that it originated from so that when you respond you automatically sort of default to responding with the mailbox that is received which is obviously very important and for my purposes um we don't just do this for like customer support queries or project management questions we also do this for outbound so we will funnel all of our outbound responses in through this mailbox and then just have one person manag all of the outbound using the vast majority of those templated features like I was talking about earlier so this is basically what it looks like you see um this specific um account here that we have this team inbox and Nick email we have a bunch of different like project management platforms that people are using that have added us to it we have like contracts we have uh payment processor you know queries we have like calendar notifications all the random that you would normally have to go through on your own uh we just now manage in like a centralized inbox which is pretty awesome and then let me show you what it looks like when you actually want to resp respond to somebody and how the artificial intelligence thing works because that's probably like the highest Roi part of missive in general um it's also quite affordable and quite cheap this is uh just some Prospect client that I'd worked with at some point in the past and um I think I got like a pretty big contract as a result of this yeah our agency won a contract with HP that's the laptop companies that was pretty big and I was just thanking the client or yeah I guess the client at this point um that was responsible for giving the work that ended up in the portfolio that I think won US the piece so that's me thanking them let's say I

wanted to respond to this really quickly or you know one of the assistants on my team wanted to respond to this um all I would do is I'd uh I'd click that respond button and you know you can just hold control press R you can do the same thing and then down here there's a reply with context button and so all I do is I click this and you see AI just wrote out that email um it took this sentence into account and it took like the whole like prior context as well and so the way that this works is you need to basically go on the right hand side here and then add an integration go down to I think open AI here and then just click add to missive and what it'll allow you to do is you'll then add your open a API key configure whatever model you want to use I always just use gp4 because the extra token cost is totally worth the time that me and my team saves on this uh and then uh you can also Define your own prompts so what you do is you go down here to prompt and then you can actually like create your own prompts however you want so I created one called reply with context um but obviously you can create one however you want this is what mine looks like um you're helpful intelligent email campaign pay an assistant your job is to read and then respond to incoming email replies in a Spartan yet in formal tone as Nick sth here's the message here's the potential context right response to apply only return the body section do it markdown format yada y yada so some of this stuff is just you know like a consequence of how missive works like uh formatting is all on markdown for instance so you have to include that sentence but feel free to just copy and paste this and use this on your own just swap out your name if need be uh the model here is where you select between gp4 I guess they only allow you to do 3. 5 turbo now that's new and then you got a couple options that you can use the way that this works is the context part of it anyway is um basically missive also allows you to define a bunch of Snippets and so here are that have sort of created in the past and so um this is like you know little questions and answers and stuff like that obviously this is for writing this isn't the same thing and this is for people that are specifically asking me questions about my own portfolio so you're going to have to edit these templates to um you know your your own situation your own agency but the way that this works and the reason why this works really well is because um essentially the AI will look through the message that somebody's asking you about it'll then find the closest template that can that answers that question and it does all this automatically and then it'll use that template as context essentially as like an example for the AI and so what ends up happening in practice is you end up with these templates that are like hi X hi X how are you doing X hey X whatever and then it'll go through in the a just sort of knows what you want it to do which in this case is to replace the X with the name maybe change the template slightly just to accommodate their specific request or specific feature and in practice this means that you can just respond to emails in half a second I mean like you know what did I do there I went reply with context click took less than two seconds and then you press send and close 99% of the time that's it and that's how you manage you know an extremely uh Dynamic super high volume email inbox without it necessarily being overwhelming uh what I would do if I were in your gu shoes and this is the first time that I was managing anything like this and you know I've never like used an email inbox tool before is I would look for a virtual assistant I pref preferably somebody in the Philippines or somebody that has good English skills the Philippines is usually my go-to pick because one costs affordability like um very low cost of living place and so obviously salaries are a lot lower so you can pay significantly lower amounts of money in order to retain them on your team but you can also you know like change their lives and offer them really good um lifestyle and living situation and stuff so it's sort of like a you know it's a give and take it's quite valuable uh but two they place a very strong emphasis on English education from a very early and very young age and so um you know you don't really have to deal with any like English incompatibilities or inaccuracies or whatever so what I would do is I'd hire a virtual assistant from the Philippines and I'd pay them anywhere from probably like $7 to maybe like $12 an hour us depending on the source of things that they're doing for you and how executive of a level they're at and then I would um task them with being the single source of Truth um in your mailbox I would set up for every single mailbox you have that you no longer want to deal with I would set up simple rules and missive which make it incredibly simple to do so um you just go to accounts and then you click connect account and then you just route all of the different mailboxes in it's a simple Gmail login screen um I would do that I would go in connect the account and then uh I would have them just trial responding to your emails for like three or four days and then after they send a few emails for three or four days I would compile all those emails turn those into a big list of templates and then I would add those templates to that template feature in missive that I showed you and then just use AI for the next you know week or two and see how that goes that would be my personal sop um I've implemented this at a variety of companies it seems to work quite well uh most people that I show this to are just like holy freaking are you kidding me you guys were using AI I had no idea and that's just because the quality of our responses gets to benefit from the templated functionality that I myself and other people on the team have set up where like we just know that this works as a response to a query uh but it's also flexible we get to customize that automatically using AI to curtail that to whatever the client request or Prospect ask is so hope that makes sense
