👨🏻‍💻 I never received formal "email training." And there are definitely no tutorials for writing effective emails at work. In this video I share best practices for the 6 Most Common Types of Workplace Emails I learned the hard way over the past few years working as a Product Marketer! Before diving into email best practices, you should know that there are 2 main types of emails we encounter at work: 1️⃣ Request-and-reply emails that require input from the reader 2️⃣ Confirmation emails that serve as a record of a conversation or decision Cold emails where you reach out to a colleague for the first time would fall under the "request-and-reply" type of email and a best practice there would be start off the email by mentioning how you came across their profile Meeting minutes would fall under "confirmation emails" and a tip there is to include the Key Takeaways and Action Items up front, and perhaps even highlight the specific action owners so there is no room for miscommunication. Newsletters and Project recaps are usually longer in length, so I recommend adding a "too long, didn't read" - or tl;dr - section up top so others can get the most important content right at the beginning and skim through the rest! Two Primary Types of Workplace Emails

two primary types of emails in the workplace request and reply emails that require some sort of input from the reader and confirmation emails that serve as a written record of a conversation or decision let's see some examples from these two categories first

Cold Emails

up under request and reply we have the ever so popular cold emails these are the emails you sent for the first time to colleagues you've never corresponded with before examples would include request for information another team has data you want and you need to explain the purpose of your request for support you need the partnership of another team to drive your project forward and you want to approach them for a potential collaboration request for coffee chat you just join a new team or are looking to and you want to be brought up to speed on the latest team gossip a few pro tips for cold emails since it's the first time this person is hearing from you want to include one sentence right the beginning explaining how you came across their profile this provides them with useful context and gives them more of a reason to help you second let them know how your request will benefit them so you get a quicker or more detailed response while everyone is part of the same company the person you're corresponding with has their own work and probably receive similar requests all the time for example by quantifying the business impact of their assistance you give them a subtle indication of how important this information is and they have something concrete to write in their next performance review even something seemingly small like giving them a shout out once the campaign goes live or the report goes out shows them how appreciative you are of their work third pro tip and this is specific to first-time coffee chat requests is to message the person beforehand asking if it's okay to send a meeting invite this might be the overly sensitive side of me talking but i've always felt it's a bit rude to block time on someone's calendar who i've never corresponded with before especially if there's no legitimate business reason i feel like this act of asking for permission again shows you're appreciative of their time and gives them a chance to propose a date that's convenient for them another common type

Action Required Email Blast

of the request and reply email is what i call the action required email blast it's similar to the request for information called email but it's sent to a group of colleagues as opposed to a single individual for example my colleague is organizing a team offsite and the action required from us the team is to vote for one of three options she's using super interesting polling method by the way where we use our profile pictures to vote on a google slide uh this is not a tip i just thought it was super interesting anyways for situations like this make sure to include a clear call to action or cta in the email subject line if possible instead of action-required off-site details she wrote one-minute survey vote for fun activity this provides a reader context without having to click into the email and tells me that this is something i can deal with within one minute regardless of whether you include the cta in the email subject line another best practice for action required emails is you have the action as the first sentence in the standalone paragraph and include the context below you do this so the reader has the option to read or ignore the not so important part of the email i have a full email etiquette video with harvard business review by the way so feel free to check that out after this video all right

Meeting Minutes & Email Chain Resets

moving over confirmation emails there are quite a few subcategories of these so let's start with the most common ones meeting minutes and what i call email chain resets an email chain reset is what should happen once an email thread goes on for way too long and someone preferably you the smart ambitious charming view of my channel brings everyone back onto the same page since the objective of the reset and meeting minutes are the same the formats are similar as well you want to start with key takeaways and action items up top and maybe even highlight the action owners so there's no room for misunderstanding include notes for the benefit of those who might have missed the meeting but again push that section to the bottom since it would be an optional read for the other attendees

Newsletters & Project Recap Emails

another two types of the confirmation email that serve a similar purpose are newsletters and project recaps these are after longer in length so my first pro tip is to include the too long didn't read or tl dr section up front with quantifiable results and benchmarks since most people might only read the first few lines then skim through the rest the second best practice is to use an existing template and not reinvent the wheel if you work in a mid to large size corporation chances are you've received recap emails from project managers patting themselves on the back telling you how wildly successful the campaign was and while the content may be questionable i usually just copy and paste their email in a google doc so i use the exact same formatting for my own recap in addition to stealing with pride you can check out the template gallery that comes with google docs or check out the good docs for newsletter template inspirations i'll link both of those down below the third tip addresses a pet peeve for probably all of us and that is relevancy is every single person receiving this newsletter or project recap going to find it relevant before hitting the send button go through the recipient list in particular the email aliases and ask yourself will this person or this team get some sort of value from the content of my email if not take them out yes we are often told that an email blast will help us build presence at work but trust me when i tell you and as naive as this may sound if you did work you got quantifiable metrics and your learnings are authentic your recipients will organically share and forward your email to others speaking of well-written and authentic project recaps i just came across this template i made for work so let me know down in the comments if you like an entire video dedicated to writing a newsletter or recap email people actually want to read see you on the next video and the meantime have a great one
