Introduction to Google Flows

Today we're going to be breaking down Google Flows. And Google recently just dropped something that is really good for automating all sorts of systems. So what you'll learn today is what Google Flows actually is and why it's different from everything else you've tried when it comes to AI agents. How it connects to Gmail, Google Sheets, Gemini together to build automation workflows without writing a single line of code. You learn

Why Google Flows Matters for Your Business

why this matters for your business, specifically if you're running client work, creating content, or trying to get more leads without spending more day on manual tasks. You learn the biggest mistakes people already making with Google Flows and how they waste time doing it. You'll get a complete framework I'm going to demonstrate to you today showing you exactly how to think about automation inside your business so you're not just building random workflows that don't actually help. And you'll get real examples so you can copy and adapt for your business. For example, like lead generation, client onboarding, contact backend operations. And this stuff is brand new, right? So you can actually use this new Google Workspace and it's called Google Flows that most people haven't even heard of yet. And I'm going to show you exactly how to use it before everyone else figures out. All right? And the people who move fast on this going to have a massive advantage over everyone who's doing stuff manually. So stick around because this might be one of the most important AI automation updates Google has released this year.

Getting Started with Google Flows

All right. So if you've never used Google Flows, you can get access to it at flows. workspace. google. com. All the video notes from today are inside the AI success lab. This is completely free and it connects you with 39,000 community members. And also inside there, I'm going to show you exactly how to use Google Flows, but we release like new updates every day. As you can see, Google Flows basically helps you avoid being trapped by manual work, right? So, you can use Google's ecosystem, for example, like Gmail to Sheets to Docs to Google Drive and just build stuff that all links naturally together so you're not copying and pasting between apps, right? And as we go through this, we go to the discover section here, we can actually get a bunch of pre-made templates like you can see. So, for example, we can get a daily summary of unread emails. We could get summaries of action items after meetings. We could get premeating briefs inside Google chat, right? And then we can also describe a task that we want inside Gemini. If you want to see flows

Practical Examples of Google Flows

I've actually built previously, you can see examples here. So, for example, like the daily AI news post creator, right? If we click on that one and basically what we do is we have this schedule, right? So, every day at 9:00 a. m. and it repeats daily, so it's automated for one year. And you can set the time zone there. It's going to ask Gemini about the latest updates in the AI industry as you can see. And then it's going to create a Google doc with the latest information. Now, why is that useful? It's useful because you can easily automate, for example, like blog creation around the latest trending topics inside your industry. And then you could create social media content or SEO content, etc. inside Google Flows. And it's completely automated. I actually forgot this was running in the background. And you can see it was last updated today, right? And it's been building out every single day for weeks now, which is pretty crazy. So, for example, here it's talked about the latest news from December the 16th. all the latest information, what it's doing, etc. And then we've got the blog post over here. Same for this one. If we click on this, it's got all this information. And then it's created the blog post with a Google Drive link as you can see. And this has been running every single day. I actually literally forgot about it, but you can see how easy it is to create, right? So, for example, it's talking about all this information, what people are doing, what's happened, etc. All the latest research inside the AI industry, and it's fully automated and just running in the background. I also find this is way easier to use than something like NA10 because it's all inside Google's ecosystem which is what I already use. Right? So I don't need to worry about APIs. DP. I don't need to worry about coding. It's just it's all inside here and it's ready to automate with Gemini. All right. So
3:26

Building Custom Automations

let's talk about the old way versus the new way. Right? The old way was like you needed to learn coding or pay someone to build automation. You have to use different tools. They didn't talk to each other. You might spend a whole day or hours just setting up new workflows. And when something broke, usually you have no idea how to fix it or even if it's broken at all. And quite often a lot of people avoid full automations like this because it feels too technical. The new way is that you describe what you want in plain English in Google flows builds it. Everything works inside Google's ecosystem. So for example, like email sheets, Docs, and Gemini. You can build a working automation like 15 minutes. I'll show you how today. And if something breaks, you just tell Flows what's working and it fixes itself. And automation becomes easier than doing the actual manual work itself. Right? So this is how easy and simple it is to do. So let's say for example we wanted to build something out. I'm going to have a look at some examples I've actually mapped out today. So for example inside here we could say okay catch me up. So every morning catch me up on yesterday's unread emails in Google Docs right? Something like that. So I can create a Google document that just does a rundown of all my emails inside my inbox and then actually converts that into a Google doc with a summary of all the notes. Right? And it doesn't have to be a Google doc. Could be a Google sheet. It could be a Gmail. Could be a Google chat. whenever you want, right? You could email someone else with your latest inbox as well if you wanted to, if you wanted to keep it clean. Like for example, you could have a virtual assistant managing your inbox and then you just get a summary of everything they've done over the last day, right? Like you can see right here. So we can set up the schedule date like see set a scheduled date, time, etc. Repeat daily, ends after one year. Then we can recap the unread emails, right? So it's going to look at all the unread emails of yesterday and focus on unread emails. And then from here, we can run a summary. As you can see, we just have to find a place to locate and put these in. Right. So, I'm just going to put it into folder right there. That's saved. We hit turn on. It's getting the flow ready. And now we've got a schedule where every day it's going to recap the unread emails, create a Google doc with all the new emails, and then we can create a test run here, right? And we can actually just test this before we make it live, right? So, you can see, okay, does it work or does it not? Right? Is it switched on or is it not? And what are the results like? Now, this isn't always going to work first time round. It probably will work just because I've set some of these up myself and I already know what this works, but you can see here, for example, it's broken down all the information like new user added to Goldie agency, etc. Run is completed with the email recap inside the Google doc. Boom. Shakalaka, all good to go on that, right? You see how easy and simple this is. So, it really doesn't take long to build out these. And you can see all these different triggers as well that you can set up. So, you can say, okay, when I get an email, do this. When someone joins my space, do that. Right? when an item is added to a folder, do this. Or when an item is edited, give me a response. Or even, this is super cool, really good for lead generation is like you could have a Google form and then when that Google form is filled in by your new leads or potential clients, you get a notification or it sends an automatic email to that person, right? And so you can trigger all these different workflows right here. If you're not sure

Advanced Automation Techniques

how to automate something, then just go inside the discover section, right? And describe what you want. So this is kind of like a no code builder for automations where you just describe what you want in plain English and then it builds out for you. But if you're really clear what you want and you already have an idea in mind, then you can just go to the plus over here and say, okay, here's what I want to do. Right? So for example, I can take a screenshot of this and if I need help like figuring out, okay, what do I actually want to automate? What's going to save me time? I could go on to for example Claude and Gemini and just say okay based on what you know about me what would be a great automation to build that would save me time inside Google flows right and then just get multiple answers to the same problem which means that I get a bunch of ideas and then you have to get a lot of bad ideas get good ones so you probably will give me some bad ideas and some good ones and then I just pick the best one from that right and so you can use these AIS to not just automate but also to come up with the idea itself and what's the most important most relevant automation you could build today. Right? So you can see here for example it could be like okay when a sheet changes send a chat message telling me that a new link has been built. Right? Also for example when an item is added to a folder right it sends an email to your video editor saying new footage is ready for review and then this removes the friction of me messaging my team each time I have a new click to edit. Right? Al for example the new lead response. Right? So if I use Google forms for client intake, then when a form response comes in, that automatically create a folder inside Google Drive for that client. It sends me a summary email with their details and then it helps me boost speed to lead, right? It organizes the client's file structure so it's ready to on board that person automatically, right? So it's so easy and simple to build all this stuff. And again, you can just create the customized workflows, get the ideas inside Gemini, plug them into Google Flows, also got the answers from, for example, Claude as well. So when a file was added to the folder, for example, like my live stream recordings, which is something I actually do, it auto notifies my team, creates timestamped project folders, generates a tracking sheet, and then sends the weekly clip links to my team as well. Right, that's another awesome automation that I could build. So simple and easy to build this stuff really quick. You can see all the stuff that we built as well. If you want to have a look at some other things as well, you can do, you can actually scroll down here and you can get a bunch of templates, right? So you could, for example, automatically label items with action items, right? You could get notifications about urgent emails if you're watching out for emails from specific people or specific clients for example all sorts of crazy stuff and it's all inside the workspace. Vanel says massive thanks man Julian Goldie pure value happy to appreciate you and thanks for joining today and yeah that's basically it. Now this is like Zappia

The Benefits of Using Google Ecosystem

and people always tell me like Julian I tried Zappia and it broke. I tried make nothing connected. I tried NSM blah blah these tools promise everything and I get it. Bu clothes is different because there's a reason like Lego works so well, right? All the pieces are made by the same company. They all fit together perfectly. You don't need adapters or converters or special connectors. And it's the same with Google Flows, right? Gmail was made by Google. Google Sheets Docs, Google Drive, Gemini, they're all made by the same company. And it's just like Lego. When you build automation inside one ecosystem, everything actually works, right? Whereas, for example, I remember like back in 2019, I tried to connect my email to my spreadsheet to my CRM. three different companies, three different systems, it broke every other week. I lose leads, I lose data, and it's a total nightmare. Right? So, the real problem is not the automation itself. like trying to force different tools from different companies to work together. They're not built for each other. They're built to work independently. And so, the new belief that I recommend and the new mindset that I recommend for you is like automation works beautifully when all the tools are built by the same company to work together. And that's what Google Flow gives you. Now, some people as well will say by the time I learn this, something new will come out. And people say like why should I learn Google flows now right? In 3 months there'll be something better and I've wasted my time. And some people like back in 2010 people saying like I'll wait to build a website until I know what the best platform is and then in 2012 people were saying I'll wait to get on social media until I know which platform wins and then 2015 people say I'll wait to do online ordering until I know the best system. Meanwhile your competitors start building great systems even though they weren't perfect and get thousands of followers and move faster. Right? So the real problem is not like new tools that come out. The real problem is that you're trading future perfect tools are present in action, right? And whilst you wait, other people are building systems, getting customers, and growing their business. So the person with the longest timeline wins, not because they have perfect tools, but because they start before everyone else. And so I'd recommend that learning automation now with imperfect tools will always beat waiting for perfect tools to never come. The people who move first are the ones who get the massive advantage. That's basically how it works. So how you can

Conclusion and Community Resources

use Google Flows, the whole system, etc. I do have a full step-by-step framework with this. But the thing that I would say here is like the rule is automate the system that has the most repetitive manual work and the most direct impact on helping you grow. Right? For example, for most solarreneurs, that's usually getting customers or converting customers. And I also have inside the AI success lab a 30-day implementation road map for mastering this stuff. Right? So most people try to automate everything at once, but I would say that's a recipe for getting overwhelmed and giving up. Right? Instead, if you follow this 30-day plan to build automation, you're building something that actually works and you're learning it step by step so you can actually implement it. Now, this is all inside the AI success lab free group, free community, you'll connect with 39,000 other people interested in AI. And inside the classroom, you can see where we have all these automations and inside the new automation section here, we have the full workflow on Google Flows plus Gemini 3 plus notebook and everything else that's recently come out, including callers too. So, if you want to get this, it's all inside the AI success lab as you can see right here. But week one, I just identify your highest value automation targets. Week two, I'd map your process and you can see the step-by-step implementation homeworks if you just want to follow along with the 30-day plan. Week three, start building out your first flow. And then week four, just deploy and optimize. Okay? And that could be for lead capture, content distribution, client on boarding, outage tracking, etc. So, yeah, that's basically how it works. Now some people say that's great for you or do you have any examples of other people winning with AI etc. So let me show you some examples of what other people are doing inside my private community the AI profit border. This community comes with like daily coaching comes with an awesome classroom of all my best systems and it's actually got a discount on right now if you sign up and also inside the community section here in the win section you can see all these different things that people doing. So, for example, like Vladimir, he published 10 Kindle books and 10 more titles to Gumroad using AI on the automations that we teach inside the AI profitable, right? Created her first funny AI video. Christina created some YouTube shorts. Eric programmed a WordPress plug-in with Manis, right? Ian got his workflow working perfectly. Darren created his first NA10 automate. And Steven, who literally had never heard of NA10 before it came into the air profit boardroom, just built an automation that saves him three to four hours per week with AI, right? And like you can seriously get great wins if you're learning this stuff. And that's what we do inside profitable. We just connect winners and we connect people serious about growing their business with AI automation. And then we share our wins and we grow and we learn and we ask questions together. You also get support inside here as well. So you can ask questions and get help and support and that's all inside the AI profit board. So feel free to get that link in the comments description. I appreciate you watching as always and I will see you on the next one. Cheers everyone.
