Building a Workflow from Scratch

I'm going to show you exactly how to build out a new workflow completely from scratch based on whatever idea you have and your only limitation is your creativity for example let's say I have a idea for a sales agent that could just follow up with leads to just book in a call and they create something super personalized for each member of my sales team let me show you exactly how we can build this out step by step and this will show you how N1 Works how to build your own workflows how each module works and how you can connect different apps together so what we're going to do is we're going to start off with a new module here and we're going to start

Setting Up Webhooks and CRM Integration

with a web hook module now the reason for this is because we're linking it to an app that doesn't have a direct integration in inside na10 and this is the cool thing about this is you don't have to have for example a module so even if na10 doesn't have a direct module that you can call inside the workflow that's okay because with your AI agent you can create a web hook and that will trigger the workflow instead let me show you exactly what I mean in case that sounds complicated to anyone watching so we've got a web hook right here we're going to say okay each time this web hook gets called it's going to trigger the workflow so we've got that set up right here then let's say you want to conect connect that to your CRM right so for example when someone books here in a new sales call through our CRM go high level then we're going to trigger this workflow so what we can do from here is we're going to click on start from scratch inside workflows of go high level and then we're going to add a new trigger which is basically saiding every time a customer books in an appointment we can choose which calendar we wanted to select it from and then we can say okay every time someone books in an appointment in this calendar right here we shall trigger the Web book that we talked about okay so now it's going to take the web hook and if we go over to na1 grab the web hook plug it in the URL section save the action we now have an automation that's going to trigger ma10 based on someone booking in a new appointment so let's test this out now we're going to click on test workflow and we can run this test right here and you can see now that the workflow has executed successfully which means that the web Hook is connected to go high level and we're ready to get this rocking and roll it now what I'm

Personalizing Sales Follow-Ups

going to do is depending on who in the sales team actually has the sales core assigned to them we can set up the automation so that the data feeds through right for example if Ellie gets a call booked into her workflow then we'll draft an email in her inbox right so if that email is equal to Ellie's email then we're good to go on this all right now depending on how many people you have in the sales team you can have another filter here which triggers the workflow for someone else in your team so we can say okay if the email equals Anna's email address then we'll send an email for her and the same for anyone else in your tea so you can have multiple branches and connect multiple different email addresses and filter the web hook based on its existing data you could also do this for example for Budget right for example let's say in your application form this isn't just applicable for goal it's applicable for whatever form you're taking data from but inside this section right here if you had a question like okay how much you willing to spend and the spend was below how much you wanted to take in each month as a client then you could have an automatic disqualification or sorry email personalized to them and their situation all right we've set up the web hook we've connected this to go Hal we set up the filter so it goes to the right sales wrapping the team then from here what we're going to do is we

Utilizing Google Gemini and AI Studio

are going to have an AI agent so we'll click on AI agent over here and if you're wondering how to set that up you just click on plus sign type in AI agent and boom you've got this here now what we'll do inside the chat model is we'll set up a new section that says Google Gemini chat model and I've already got my credentials plugged in but if you ever want to edit yours or you change your API key Etc you can just change it right here the host is going to be this URL and the API key you just get from AI studio and the best thing about AI agents built on Google's AI studio is that these are free to use plus you get access to the latest models right so if we create a new API key inside AI studio. google. com then we're good to go on that and inside the create a prompt section here as you can see we get access to all these different models right so it's absolutely amazing you get the latest access to the best models from Google to API one of the biggest companies in the world and it doesn't cost you a penny and then you can see you can select which model you want down here all right from the list now you can also see if we have a look through the list the you get options between when they were last updated so for example experimental release February the 5th 2025 so we can grab the latest Pro experimental model from Google and use that to fill in our workflow additionally what we can do is inside the memory section here we can have a window buffer that remembers the last few emails we have right so for example if you've got multiple emails being drafted based on what you've previously sent then you can add a window buffer memory section here you don't need to set up any credentials you can decide how many past interactions the model is based on and it feeds in the latest information based on the workflow and what happened previously right so it's going to take the information from web hook it's going to filter it down to the sales rep then we're going to say inside here we're going to add a new message that says you are a sales rep based on the application from our sales Prospect write a very personalized email the checks the lead is attend in the sales core Plus makes it easy for them to confir right and then we're going to feed in the previous workflows from the

Testing and Refining the Workflow

node so let's click on test step here all right and we just had to go back to go high level test a workflow again with some dummy dat data that's fed in the details and then inside our AI agent here we just want to Define below the recent details right also just make sure that you've linked these together if they're not linked then this AI agent won't receive the previous data and each stage you always want to be testing this step by step right making sure that the data from the last module connects to the new module like you can see right here and now that we've got that data we can fill out the system message a bit better right so the system message is like the information that's not going to change each time and then the prompt is the information that's going to be dynamic and change each time you get an application right cuz obviously other people's so what we can do here is we can say Okay full name equals email equals here's the details of the website the more information you feed this AI agent the more personalized email that get sent afterwards is going to be sent as well so if we take this we're like okay there's a website here's the email to fill in here's the name and we'll grab the information on how I can help you Etc you could take the monthly budget I don't think that's going to be very important and then also inside the system message you want to add some like details of how you want this written right so for example for me it's okay sure to the point no fluff conversational polite friendly Good Vibes right just some information on how we want this written now also you can see here how it says okay I need a little information to write a personalized email could you tell me this that's Bas that was before we plugged in all the personalized data right now that we've got the personalized data inside this message between the text which is the prompt and the system message which is basically how the AI agent is trained we can create something much better so let's test this step out now and you can see this is much nicer right much nicer what we're also going to do here is inside the system message and this is really good to test out cu you can see okay what do you like what don't you like so you see here how it says best I'm going to say no email signature SLB Etc I'm also going to say go easy on the exclamation marks use them sparingly thing as well like for email deliverability if we just Smash in loer exclamation marks like here and here that's not good right and then I'll say make it very personal plus explain you're working hold on analyzing their website ASP all right then we can show we're more prepared in the email Let's test it again see what we get back and we've got the information right there which is perfect now what we can also do is just reconfirm the actual time that it was booked for so you can grab the time zone like so now inside here as well inside the AI agent if you don't want to use Google Gemini's model directly you can actually delete that and then you can add here open rout and using open rotter in your account here we can go through the list and we can say Okay Google we'll just go with for example like Google flashlight preview using our open rter account again you can get a free account at open. and if you type in Google Gemini flash 2. 0 light previewed you can get access right here and by the way if you don't want to set this all up yourself this whole AI agent workflow then I will leave the sap inside the AI profit boardroom so you can get access to that link in the comments description but essentially if you just go to open router Keys get an API key you can add that to an open rout chat module and then select Google Gemini 2. 0 flashlight preview right there all right Automating Email Drafts and Subject Lines

what we're going to do here inside the email module is we're going to select Gmail we'll type in draft get it so we'll say create a draft email you don't want to set I think unless you're super confident in this like you probably don't want to just fire this off like a maniac but you can pull in the draft and then plug it into the message section over here now just before we do that what we also want is we want a subject line right for this email and so what we can do over here is we can add a new AI agent we can plug in the email that was drafted from the AI agent over here and we can say create a subject line for this email and then we're just going to add open rout again open rout is API actually for this whole workflow seems to be a lot more reliable than using Google directly just something to bear in mind there from what I've tested so far in this workflow today we're now going to rename these agents just so it's super easy for us to understand it you can always like drag and drop as well these modules just so that it's easier to figure out okay what's going on I'm also going to delete this just to keep it simple for now but you would create a branch off for every single member of your team inside the AI agent module over here we'll rename this email body agent and then inside this AI agent we're going to rename this as email subject line agent all right and there we go also inside the calendar section over here we're going to change this we're going to say just get an event right and if we select get many it can retrieve all the latest appointments inside this calendar right so we connected Google Calendar we said get all the latest appointments from the calendar and boom there we go all right now what you can see from here inside the subject line agent is it's drafted loads and obviously if you send that directly to Gmail that's going to be a total mess right you don't want five headlines and your sales right is just going to get annoyed of you so we're going to hit test step now I've changed this it says only give me one subject line make it relevant to the email above make it very personalized it short and then said SEO strategy call confirmation Julian you could also say Okay include their website in the email too or test out right now boom look at that Julian SEO call confirmation and preparation for their website so this is personalized and also the subject line is relevant to the appointment name all right now inside the Gmail section we're going to draft an email cre here we're going to take the subject line from the previous subject line agent nice and easy and then inside the message text here we're going to delete that and I'm just going to take the output from the email body aging okay if we test that out what you also want to make sure when you're doing this is inside the create new credential section you actually have this link to the relevant inbox right so if you just click on create new credential we can sign in with Google and connect our inbox and then once you've done that as well you just want to rename it cuz otherwise it's going to get super confusing if you have Gmail 1 Gmail 2 Etc so instead we're going to name that as a person that it's related to there we go and now we can actually just test the steps so let's test what happens and if we go over to our drafts over here you can see that it's got information on the name the website the email is nicely formatted we can also add a two email so the email address of the person that we're having to call with there we go let's test it out and look at that beautiful we got the email address of the person we're emailing the details in the subject line and the details of the emo inbox now if you want

Finalizing and Activating the Workflow

to make this live you just click on active over here and that's ready to go and that was incredibly easy and simple to do and we've just automated email follow-ups for our team and if you have a sales team the sales people don't like admin right they like jumping on the course we want to automate as much of this as we can number one so we can communicate better with the sales Prospect number two so we're super organized cuz this will draft it and number three so we can save our sales rep time and they get better results we get better results everyone's happy right and then you'd go back to go H make sure that's saved and ready to go and this workflow is just running beautifully now and the craziest thing about this is like the API from open routa using Google is free as well so it's not going to cost you anything this is all automated and imagine how much time your sales team would take writing the emails quality controlling and making sure they actually send the emails even if that's only say 30 minutes a day to five different prospects five different sales calls a day then that's 100 minutes a week which is 400 minutes a month on something that you can easily automate right you save yourself nearly 7 hours a month just by setting up a workflow in 20 minutes and let's be honest there's no grammar mistakes the emails don't get forgotten about every lead and Prospect gets followed up with properly and it's just a beautiful workflow you can also for
