Most people are still using chat GPT like a fancy search bar like it's Google. But with these new chat GPT projects update, it has absolutely turned into the ultimate AI workflow. It's like an operating system in the palm of your hands. This isn't just a chatbot anymore. This is your assistant. And in this video, I'm going to cover all of the latest updates, as well as some of the most creative use cases we now have at our fingertips to help us become 10 times more productive using Chat GPT. But before we get into the technical details of the upgrades, you want to make sure that you can take advantage of them. So, the first thing you need to do is click on your profile in the top right corner, and then you want to click on settings, personalization. You want to make sure you have referenced saved memories turned on. It should look like this. If it's not on, then chat GPT is not going to be able to reference memories across different chats. The second one you want to make sure you have turned on is reference chat history. This is going to allow ChatGpt to reference all previous conversations when responding. This is going to give you that personal feel that you're actually looking for with ChatGpt. So, what exactly are projects? Projects are a way for you to keep things organized inside chat GPT, but now they're a way for you to amplify your conversations. The clearest way to think about projects is each one of them is an AI workspace. So, for instance, if your primary purpose for using Chat GPT is to help you run your online business, you may run a prompt that gives you a list of all of the business departments you need in order to be successful or reach your goals. And then you can turn around and create a project for each of those individual departments. And you can program each of those projects with custom instructions that give you a space to work on your content, your marketing, your sales, your leadership, personal development, or anything else, as well as uploading files that season the conversation even more. So, here's a
quick run through of everything that's new inside of Project. Number one, you can now use deep research inside of projects. This allows you to get access to real live web data. It's great for ongoing market analysis. It's great for competitive research, and it's an absolute beast if you want to create continual reports around something that's important to you because of Chat GPT's clean white paper feature with their deep research. The second upgrade we've mentioned a couple of times already is project level memory. Chat GPT can reference chats within that project when responding to you. And just as I showed you in the beginning, you have to have reference chats turned on. The third upgrade is you're able to use advanced voice mode. So if you're outside going for a walk, you're working out, or you're walking the dog, and you want to have a conversation with ChatGpt about your content, about your business, or about something personal. Now you can talk and then ask chat GPT to transcribe the notes, create documents and so forth based on your conversations so that you never lose a good idea again. The next upgrade is chat sharing. Instead of sharing the entire project, you can now share an individual chat inside of a project with someone and not the entire project. So people don't know everything that you're working on. Upgrade number five, you can now upload files to projects from your mobile device. Now let's look at how to create a project and talk about those use cases. So come to the left and click on new project and then give the project a name. I'm going to call this client content strategy and then just click create project. And now the next thing I'm going to do is I'm going to add instructions. Now, one thing you can do is you can create prompts with chat GPT cla or any other AI to include right here for your content strategy. But myself personally, I have a custom GPT called the content intelligence agent. And this thing is an absolute beast. I absolutely love this custom GPT I created and I'm going to be doing a video about it soon and sharing with you guys. But all I would have to do is go into this custom GPT and edit it. Get the instructions. Then come back down to the client content strategy. And right here where it says instructions, I can paste in the instructions for the content intelligence agent and click save. Now, the reason this is so important is because many of my custom GPTs are procedural GPTs. They have a step-by-step sequence that they follow. Many times it's 15 to 20 different steps that they follow in sequence and they perform a variety of actions to reach a certain end. And basically what they're doing is they're taking my workflow and they're replicating it on their own. So for instance with the content intelligence agent, something I've been working on for a while now, it will come up with at the moment 180 content ideas. I can make it 360 easy by changing two numbers, but it'll come up with 180 content ideas that are very high impact in your particular niche. Doesn't matter who you are. Guaranteed to be high impact. I've tested it several times. It works to perfection. But let's just say that I wanted to actually come up with content strategies for clients. If I was doing client work, freelance work, and so forth, and this is something I might offer, then instead of this being a custom GPT, I can use it as custom instructions and use it right here to repeatedly come up with content strategies for individual content creators. And then if there were documents, code files, images, and more, I could upload them here. So this opens the door for you to create your own project where you create thumbnails. So, I could go to YouTube and I'm going to do this. I'm going to go to YouTube. I'm going to get some of the best thumbnails that are on YouTube. I'm going to screenshot them and I'm going to create a database that has these images. And then I'm going to see if I can use the chat GPT40 image creation to start creating thumbnails for me that are based on the most popular and viral thumbnails on YouTube right now. And one thing I'll add right here, if you're uploading documents, there are two file types that you want to make sure that you use. That is markdown or txt. These are the ones that is going to have the easiest time reading through. If you upload PDF documents, then the project is going to struggle to actually read it because it has to use tools to read it and a lot of times it doesn't get it right. It doesn't get access to the document. Use MD and use TXT. Now markdown is going to keep the headings and so forth in place so that theoretically the AI can see the hierarchy of the content within the document. A txt file is going to format it as regular text so that even though it can't see the hierarchy of the content, it's going to just be able to read everything and understand it and then use the instructions contained therein. And then close this out and all of the files are there. And so now I may say something like, "Help me create a new content strategy for someone who creates content about puppies and different breeds of Yorkshire puppies. I'm just trying to come up with something random just so I can show you. It should ask me for my profile if it's following the correct order, and it does. Uh, which platform will I be posting on? The core audience, the transformation. " So, watch this. So, now before you would have to jump through different conversations to do what I'm about to do. So, let's just say I'm going to be posting for YouTube and people who like uh puppies on YouTube. And the transformation is I just want to lift up their spirits and give them a good time while they're watching puppy videos on YouTube. Now, if I run the prompt, it's going to go and pull the YouTube file. And inside of the YouTube file, there are special instructions about YouTube as a platform, about the different content types, the content mits, all of that, right? But that's not what we're going to do because now we have superpowers inside of our projects. What we're going to do is we're going to do a deep research inside of the custom GPT instructions that we're now able to place inside of a project. This is a super power. We're able to stack now. So now, not only do I have my indepth procedural custom GPT instructions inside of a project that and hear me out with custom GPTs, they run on the basic 40 model or GPT4 Turbo, one of those, because we all know that 03 has a limit usage. But if I put this GPT in the GPT store, people can use it without any limits. So we know it's not using the latest model like it says it does. It's using 40 or another base model. So now you're able to use your custom GPT instructions inside of the project and with 03 without having to copy your instructions and run it as a prompt. It's just a little more convenient. In addition to that, after I have these ideas, I can create images for Instagram. I can search the web more to refine my findings and refine my content strategy or my ideas. Or I can write tweets or write a blog post or Facebook post. Or I can have it generate code for a website that I can put up in a couple of minutes based on the research, the ideas, or anything I have going on in this particular conversation. This is giving us the space to where our ideas can begin to come to life in so many different formats. And there are going to be so many videos coming out over the weeks where people are having conversations about in-depth topics and then creating websites about those conversations in a matter of minutes so they can share it with the world. or even creating art that represents conversations that is completely unique, abstract or realist that conveys their message in a way that they probably never could with words.
And so this is actually the very first use case I was going to share with you. It's the one that I'm most excited about. definitely going to be shifting all of my custom GPTs over to projects. Now, it's important to remember you can only have 20 projects. So, if you're going to shift a custom GPT over to a project, make sure that it's one of your most important ones because they still follow the procedure inside of the project. The only thing is important to understand is that if you have a conversation with a custom GPT like I did right here with the custom with the content intelligence agent, you are not able to drag that conversation up into one of the projects. And if you click on the three dots, you do not have the option to even place it inside of a project. But if I come here to this conversation, that's a regular conversation with chat GPT40. You will see that there is an add to project option where you're able to add any conversation into a project. So you could sit down tonight and create a project around a certain topic that you know you have conversations around a lot and then you can start adding those conversations to that particular project and immediately you've given chat GPT this silo where it's trained on those particular interactions with you and the conversation becomes 10 times more rich. But the second use case is just as great as the first one. So in the first one we mentioned this but now you can turn a project into a space where you perform client work. So for instance if you use chat GPT to create anything for your clients this is a great space for you to work because it allows you to get better at your craft and refine your process in one particular space. Now your work isn't spread out across different chats. Google Docs. It's all contained right here inside of chat GPT. Now, when you do your strategy calls or you're onboarding your clients, you can do call record with chat GPT and then you can place that call inside of this project so that you're able to quickly get to work on what the client wants and their specifications, etc. The next use case is you're able to turn a project into a niche research lab. Now, it's not as powerful as Notebook LM, but you get a little taste of it, especially if you have a ChatGpt Pro account and you have unlimited usage of deep research because you're able to take those deep research papers and upload all of them to a single place here. Or you can generate the data with Notebook LM and then upload it to this particular project because chat GPT has more memory capabilities than Google Gemini. I should say it keeps context very well, whereas Gemini seems to fall behind in that area particularly. It's still a great model. It's beating Chat GPT on certain benchmarks, but when it comes to everyday use, ChatGpt is still the best model. Or if notebook LM can't get the data that you want to use, then I'm going to share with you this website right here. It's called oceanofpdf. com. It's absolutely free. All they ask is that you make a small donation if you can or if you want to and you can download just about any type of content that you want. So let's say I'm looking for something from the Harvard Business Review and I just type in Harvard Business. I can see Harvard Business Review on nonprofits, mindfulness by Harvard Business Review. And so there are so many books by the Harvard Business Review right here. Right. All right. Let's say I want to download this how to think more strategically and I click on that and then I scroll down. Typically it's the PDF or the EUB. The e-publish is going to put it in your Apple books or other digital library on your smart device or your laptop. But let's just click on PDF and it's going to download it. So don't worry, your download will start. This is just a humble request. And so they're just basically asking you to help them keep the site open because websites cost money whether you know it or not. All right. So now that it's downloaded, all we have to do is click here to open it. Once it opens, you want to press command A. Well, first we need to click in it and then press command A. And once you see everything kind of have these blue lines, you know that everything has been highlighted. So let's just scroll down to make certain. So yes, everything's been highlighted. So now we want to press command C. And that's going to be control A or control C on Windows. The next thing I want to do is open a Word document. Click inside the Word document. Press commandV to paste it. Give it a moment because it's a lot of data. So now that we have the data, let's give it a name. Then click on file, download. And remember, you can either download this as a MD file, which is markdown, but this has no hierarchy. If it had hierarchy, that's the one I would recommend so that chat GPT would be able to understand the organization of the data. But since it doesn't, and we see that it's just all of the text dump right here, that's still fine. It's a bucket of data. Just download it as a plain text document. We come back to our chat GPT account. Click on add files. And then we're going to click anywhere in here. Grab our file. Press enter. And now our strategic thinking. txt file is being uploaded. Close it out. And now whenever we're building offers for clients, we'll have this strategic thinking document here to assist the project as we work. And you can do this for any projects to get any data that you want. There are several different websites that have access to data. Some of them you have to pay as little as a dollar a month, I think, to get access to millions of white papers and technical papers for research things. So just do some research to find the websites so that you can get the data you need so that your project can be as informed as possible. And if you want to delete a file, then all you have to do is click on files and then click on the ET and it's going to delete it and just close it out because I don't want that for my client offer GPT. The next use case is part of the first one that we started with. You can create your own content creation studio, but instead of uploading my custom GCP instructions, you can upload instructions that pertain to your content creation mix and what you do as a content creator online. And then the project files can include your video transcripts. It can include all of your thumbnails. Instagram content. And so something that's going to become increasingly important for content creators and business owners as the future goes forward is a way for you to quickly access all of your content. So one of the quickest ways for you to get all of your YouTube videos transcribed instead of copying and pasting each individual video with a transcriber like Glasp has is to download all of your videos from the YouTube studio which will take some time. But then you want to upload them to your Google Drive if you have a Workspace account and Workspace will transcribe those videos. Now, I'm not sure if it works in bulk, but I'm pretty sure it does. It's Google. It has to, right? You would expect that if you're paying for a Workspace account and you have that feature already for individual videos, but that's the easiest way for you to get those videos transcribed. And then you could copy and paste probably or download those transcriptions into a single Google doc and upload it right here. So now you have a content place that has your entire content creation brain in a single place. So that whenever you're ready to create another piece of content that uses your voice, your style, it has everything you've created for your primary platform right there. Another use case is a course development hub. So you can take your Zoom trainings and other data that you have, upload it, or you can use it as a place to talk about new ways to help people and develop products that actually give them quick wins or long-term strategy. And this is very important if you use chat GPT as a builder. I build a lot of things with chat GPT, but they're currently scattered over different conversations because I use a custom GPT and you're not able to group custom GPT conversations. But if you take those custom GPT instructions and place them in a project, now you're able to do that by having those conversations inside of a project. And I know I just repeated myself, but I hope that you get the point. The next use case is to create your own personal journal. Now, you want to be careful with this one, especially since OpenAI is saving all chats, even the ones you delete right now because of their lawsuit with the New York Times and they've been ordered to save those chats. But eventually, if they win this privacy matter and they don't have to save them, then you can create your own strategic journal where you share all of your most intimate or deepest thoughts or complex questions or a journal around anything really in one single place. So, it helps you to really get to a place where you not only ask Chat GPT, "What are my weaknesses across all of my conversations, but Chat GPT can pick up on your weaknesses by the problems you continually discuss or the entries that you make about your day or about co-workers or anything. And I know that there are hundreds of thousands of people using ChatGpt as a therapist right now. I'm not judging anybody, but I know that this is going to be a very helpful feature for them. " Just remember chat GPT can make errors and it will reflect back to you what you share with it unless you give it a very special master prompt which I do for my chat GPT account. And the short version of that is to essentially start a new conversation. Ask it what your weaknesses are as far as it can tell throughout the patterns in your conversations. And once you get that list of weaknesses, ask it to create a master prompt that challenges you in each of those individual areas immediately when it sees them and to respond in a three-part format that calls you out that gives you a course of action and that demands that you take action or correct behavior immediately before continuing the conversation. And then you take that, go to your profile in the top right corner, click on personalize, and you paste it right here. And it's going to automatically make certain that when you get out of line, it puts you back in line and checks you. The next use case is you can create a project that is your SOP library. So you can upload all of your standard operating procedures and your processes in a single place and people inside of your company or teammates can use it to quickly reference different policies or ways that you do things. And this is helpful if you're on a chat GPT teams account so that co-workers or employees can reference your materials quickly and be more productive on a daily basis. And the final use case I want to share with you is you can use a project as an audience CRM. And so right now you probably have a lot of audience data scattered all over the place, different DMs, emails, reviews, maybe even sales calls and it's everywhere. But now you can take all of that data, bring it together in a single place, upload it to this particular project because remember it doesn't have to be a markdown or tst file. There are other file formats that are supported. But I do suggest if you have video transcribing it and then using it as a tst or MD file and you can place all of that depending on the type of data just in a single document. It doesn't have to be different documents because chat GBT is just reading and learning from it. And so ChatGBT can use that data to better understand your best customers, the people you've already worked with, and the number one reason why they bought from you. And this can help you with your marketing, your sales, and just overall growing your business. So remember that if you really want to take advantage of all of these use cases and many more that I'm sure you're going to come up with in your own, you have to turn on reference chats, write specific project instructions for each of your projects that are going to control that conversation. I myself am in love with the procedural custom GPT instructions that I'm able to use inside of projects now because I can essentially have custom GPT instructions in one single place. And whenever you open chat GBT, think about whether this conversation can be had within a certain project. And even if you don't have the conversation inside of a project, you can always go back and add that conversation to a project so that it adds more data, more nuance to the conversation you're having with chat GPT there. So it doesn't feel like a single silo anymore, which was a very huge problem. But now with this update with the custom instructions, the voice mode, the deep research specifically, the image creation, and everything else that we're able to do inside of projects, the reference chat history memory. This is just a major upgrade to chat GPT as a tool, as a software, and as a technology in general. And I'm super excited about it, and I can't wait to hear what you guys are doing with it.
