i'm so excited for this video let's get started hi friends welcome back to the channel today we're going to be talking about the keyboard shortcuts i use every day at work that makes me look like an absolute productivity baller the compliment i receive the most at work other than my dashing smile is how i never really need to use the mouse when taking notes creating tricks's replying to emails and just navigating my work laptop in general so in today's video i'm gonna first talk about the keyboard shortcuts that work across applications that move on to the most impactful ones that i use daily in gmail google docs sheets slides and chrome then end with the software and hardware that enable me to be even

Keyboard Shortcuts for All Applications

more productive starting with shortcuts that work in almost any application number one while holding on command you can use the left and right arrow keys to jump to the beginning and end of a line of text but if that's too much for you want to slow things down a little uh you can use option to jump to the start and beginning of a word while using the arrow keys this by itself may not be very useful but if you hold down command shift arrow you can actually hide the entire sentence and delete it all at once instead of using your mouse to highlight the line of text similarly if you want to just change one word you can press option shift arrow to highlight that one word by itself sometimes after i write out a long line of text i find out oh there's something i want to change at the beginning so i press command arrow to go all the way back to the beginning option option highlight and change the word to whatever i need it to be i know some of you might point out that if i press command backspace it deletes the whole sentence or if i press option backspace it deletes the word directly but i'm a risk-averse person i'm just not ready to commit that much that fast you know so i like to make sure i'm highlighting the right word or write sentence before making the deletion the next view i'm going to blow through because these are pretty simple command f to find any word you want in the document and then press escape to have that text highlighted directly and you can make changes almost immediately and then there's command shift v to paste without formatting let's say i'm doing some marker research i want to copy paste this entire paragraph if i just press command c and command v the formatting is all messed up right and there's hyperlinks everywhere i don't want this right now so i would just press command shift v to paste just the text in the original document formatting and let's say i want to credit the source i will go here copy the url go back and actually hyperlink it right over here by pressing command k command v and hit apply i think everyone should be doing this because it just keeps the document clean and it's actually very user friendly for the other readers of this document and finally for those of us working in two languages command space to switch between the language inputs if you don't have the setup you have to go first to your keyboard settings and then go to shortcuts and in input sources make sure the select the previous input source uh is checked and if you didn't see how i got there so fast by the way this is actually a free software that i'll talk about towards the end of the video so i thought i could be really cute and find a keyboard shortcut for you to press to like this video and give it a thumbs up but apparently there isn't one so you still have to manually smash the like button staying within google docs for

Google Docs Shortcuts

now i take a lot of notes during meetings or when i'm brainstorming so i use bullet points and number lists i also like to format my notes to make it look a little bit prettier so it's not a pain to read let's say i run into a meeting and i need to start taking notes immediately i first press command t open up a new tab dot new to open up my new google doc i first typed the title of the meeting 101 with tim cook who i'm meeting with tim cook and under notes instead of pressing using a mouse and pressing the bullet points i will simply press command shift 8 for bullet point one point two point three sub point three point one and for action items i would press command shift seven and do this first then do that finally conquer the world oops conquer the world now to make this look a little bit better i'll go all the way up highlight the title of the meeting and then use command shift period twice to increase the size and then make this italicized and then finally both the notes and action items now i know this doesn't look too fancy but being able to do all of that without touching the mouse uh definitely saves me a lot of time in the long run all right moving over to

Gmail Shortcuts

gmail you want to first make sure your keyboard shortcuts is enabled under settings and the general tab before following along let's say you're part of a long email thread and you want to jump to a specific email you can press semicolon to expand and command f to find a specific word within this long thread mkbhd or you can actually press shift semicolon to collapse it and easily see the latest respond in this long thread now let's say i want to reply to this i would simply press r for reply and start typing hello uh similar to google docs you can actually use command shift eight for bullet points point one but the problem is you can't use tab to indent in gmail so if you actually press command right bracket to indent sub point 1. 1 or command left bracket to unindent here's a pro tip let's say you want to use number list in your gmail command shift 7 that's still the same action item one but if you actually indent this by pressing command right bracket you can still see it's not a bullet point you can actually now press command shift eight and turn into a bullet point and this just looks so much cleaner and if you want to quickly jump back to your main inbox from any email you can press g and i go to inbox and now you're back to your home page the next few shortcuts will only work well if you have inbox zero set up so make sure to watch that video after this one starting from the bottom of your email inbox you can actually press l to label an email and then press l again to unlabel it after you're done press e to archive and if you want to label and archive in one go press v to move to a label i already mentioned this press e to archive and if you want to take no action on an email you don't want to label it archive it you simply want to move to the next email simply press k and you will move to the next email so i think now is a good time for me to warn you of all the downsides of using these keyboard shortcuts side effects may include but are not limited to your colleagues watching and admiring you from afar giving you gifts finding random opportunities to talk to you i mean just so you know right and don't say i didn't warn you let me know down in the comments when this actually happens jumping over to

Google Sheets Shortcuts

google sheets i'm going to be using an oversimplified spending tracker for this example uh the numbers are all made up i unfortunately spend way more than this in rmb every month let's say i want to create a new row for march 2021 i go to any cell within the february row press shift space twice to highlight the entire row command option plus to insert a new row and this is really helpful because it keeps all the formatting in place so i don't have to change anything this works for columns as well if i highlight a column command option plus to insert new column or command option minus to delete it i like to use this because i want to keep you know an empty row or column around my main content to keep this uh looking clean and professional so this total spend cell is simply just a sum of these four columns if i wanted to apply this all the way down i would first hold command shift down to jump all the way down while holding shift press up arrow twice to get to the road that i want command d to apply that formula all the way down in one go similarly if i want to apply the same value or formula all the way to the right i would simply press command shift right arrow come back one and press command r for right to apply that value formula to the right for google slides i'm going to be very

Google Chrome Shortcuts

work i have two chrome windows open one with these pin tabs gmail calendar keep and drive and the other with the work that i'm focusing on so i don't get distracted i use the command squiggly line i don't know what that is called to switch between the two windows and as i'm sure many of you know command tab to switch between applications if i wanted to cycle among the different tabs within the window i'll use control tab to go to the right or forward as i like to think about it and ctrl shift tab to go left or backwards i just remember it's easier to go forward so two buttons it's hard to go backwards so three buttons and finally ctrl l to jump right to the address bar to go to your favorite youtuber's website to go support him as i'm going through this i'm actually very curious to see which shortcut you find the most awkward or unnatural to use i think it took me a long time to get used to the control tab shortcut to cycle between the different chrome tabs when it comes to software i use alfred

Software & Hardware

the most it's free and i'll link it down below so basically i press command space to open up the alpha command bar and this basically replaces the spotlight feature on mac computers uh in addition to doing the basic stuff like opening up like documents let's say directly from the command bar or applications uh you can literally search google best looking productivity youtuber that's gonna cost too much drama clearly me search drive you can search youtube you can search amazon all directly from the command bar but by far the two most common uh commands that i use is empty trash and unlock the computer for example um right now there's literally nothing on my desktop because i would literally delete all the useless files immediately and then empty trash with that command or it just doesn't feel right you know for hardware i like to use the magic trackpad 2 mainly for the hand gestures for example uh show desktop or like the smooth scrolling in webpages or when i'm actually editing in final cut pro the horizontal scroll is very useful or you can actually get mx master mouse series this is the three and you can actually link the buttons on here to some hotkeys or shortcuts using the logi options app these are totally unnecessary unless you're a productivity nerd like me because you actually have to pay for this but i find these make my workflow that much more efficient so it works for me if you're interested in adopting any of this i would recommend you start by picking three shortcuts you see yourself using on a regular basis and just incorporating that into your daily workflow just bear in mind that the benefits come with the side effects of suddenly becoming more attractive to others check out the playlist here for more productivity tips see you on the next video in the meantime have a great one bye
