Segment 1 (00:00 - 05:00)
Hi, I'm a DocuSign University trainer. Today, I'll be showing you how to use the attachment field in DocuSign eSignature. The attachment field can be used to allow signers to upload a document during the signing process. For example, maybe you are sending an application and you want the applicant to upload a copy of their resume. Or maybe you're sending an expense reimbursement request form and you would like the employee to upload their receipts during the signing process. To enable the attachment field for your DocuSign account, an admin must go to the admin tab and the sending settings. And underneath fields and properties, we can look for enable signer attachment field. Here, you can also select if you would like to allow for multiple attachments to be added per field. For example, in that reimbursement scenario, the employee could potentially upload multiple receipts. You can also enable the option to append the attachments to the document. With this, the attachment gets added as a part of the envelope document. Additionally, with this option, the attachment becomes a permanent part of the envelope. You cannot remove the attachment after uploading it. Also, if the envelope is ever copied, any signer attachments are included in the new envelope. To add the attachment field within an envelope or a template, simply drag the attachment field where you would like to collect the attachments. I'm going to put it over here where it says, "Do you have any receipts to attach? " Once the field has been added, look for the gear icon when clicking on the field. This will open up the properties panel. From the properties panel that appears on the left, can control some additional settings. For example, is the attachment required? Do I need the recipient to attach a document or not? I'm going to leave it as required. Also, underneath advanced, we can customize a tool tip to provide some more instruction. Maybe I'll say, "Upload receipts here. " I'll save my changes to this template. And when we go to use it from the perspective of the employee, they'll click into their envelope and fill out the details of their expense reimbursement request. When they get to the area to attach any receipts, they'll see the attachment field, and when hovering over it, they can see the tool tip, "Upload receipts here. " They'll click on the attachment field and be prompted to upload the files. I'll go ahead and select two sample files from my computer, one that is in the form of a PDF and another. docx file. Attached items are automatically going to be converted to a PDF when brought in, and they must be under 25 MB in size. So, starting with that travel receipt one, which is already a PDF, and I'll upload my second travel receipt two, which is a. docx file. When coming into the system now, you can see it'll get converted to PDF. Done. I'll go ahead and fill out the rest of the form as the employee and finish. The request will then be routed to an approver recipient. They will click in, scroll through the request form, provide their signature, and maybe add some comments. Scrolling down, in addition to the main form, the travel receipts that I uploaded are also visible to that second recipient if they need to refer to those when making their decision. Finish. And now that both recipients have signed this form, it'll be marked as a completed envelope, and we'll see those completion emails come through from DocuSign. Everyone will get a copy. I will get a copy as the sender. The employee will get a copy, and the approver will get a copy. And you can see in each of these emails the attached documents, the main reimbursement request form, as well as those two travel receipts. For example, here is Emma's request form. Scrolling down into the email, you can see all of those attached documents here. Also, within the envelope details in DocuSign, under the agreements page, inside of the envelope, I can see the documents, the signed expense reimbursement request form, as well as the travel receipts that were uploaded.
