Delay delivery

the first tip I have for each night is delayed delivery so let's say you didn't want to send a message right away but you wanted to compose it and have it sent automatically maybe the next day or a week later what you do is once you hit new and you get your new message opened right here just go over to options on the top and then you have delay delivery go ahead and click this and down here it says do not deliver before and this is where you can pick certain dates so if I want to get two days from now and I can pick up time through here and you can see the other options I have I'm going to go ahead and close this and when I hit Send now it's not going to send notice in the outbox right here it's gonna sit in there until it's time to be delivered until it's the time that I told it to be delivered one of my

Drag and drop calendar

favorite tips is this next one so if you get an email any want to quickly add it to your calendar you can drag it so if I take this email right here I'm just gonna hold down click and hold down and drag it down to my calendar so once I do that it pops open and I can fill in the rest of the information that way I want to at certain times or location and then I can hit save your close and it's gonna go to my calendar as you're going to see it's going to pop up in about a second here so I'm just going to go ahead and dismiss this the other thing I like with this one is if I left right click on this now so if I go ahead and right click hold down and drag it and this time when I drop it notice I have some different options to your work and copy appointments text with a shortcut copier with appointments attachment and so on so it gives you a lot of different options between those two things to quickly take your emails and drag them to your calendar creating an email signature can save you

Create an email sIgnature in Outlook

a lot of time and it looks really professional too so to do this I already have a new message opened here just go up and click on signature here and you can see this drops down and I already have one in here but I click on this I'll click on signature and this is where you would create it so you go ahead and click on new and you give it a name and then it's going to give you the opportunity to fill this and you do have to hit new first when you get down here you can type your information in that you want you can see how you can change the font and style and size color through here to just highlight any font that you want and select different color on it and you can also add in images here and you can add a hyperlink like I did right here if you wanted to edit your images once they're in here just double click on here and you can see if you need to the crop something if I go ahead and adjust this you can see how the images move so double click on your image and you can go through and edit the size and location where you want through there so once you have your signature set up through here you can see there's choose default signatures here so you can see where you want it to unrep lies and forwards and you can just go ahead and pick on the pick the one you want if you have multiple signatures in here I'm just going to go ahead and okay hit OK and when you're ready to put your signature in you just go back to here and do the drop down and you click on the one you want and it boom it's right in your email and that's gonna save you a lot of time and like I said it looks good too this next tip is

Insert Calendar

something I use quite a bit it's insert calendar so a lot of times if I want to show somebody my calendar what's coming up all I have to do is when I have a new message open like this go over to the insert tab and when you have that open you can see there's calendar right here when I click on calendar I have some options what I can give them as the date range so you can see is it tomorrow next 7 days so if I clicked on let's say next 7 days I can click on this and then this gives options on how much I want them to see do I only want to show them availability only limited details or full details whether it includes their all the details on my calendar here so if I just clicked on availability only hit OK and what it's going to do is give the attachment from it over the calendar but you can see it puts it through on the email too so I find this is a handy little tip if you're just trying to share that information to book meetings and make everything more efficient you can use a

Change Reply Address

different email address and replies than what you sent it with and it's a really quick change so when you go ahead and create a new message like this just go up to the tab options here at the very end direct replies to go ahead and click on that when you click on that look at delivery options have replies sent to this is where you can change your email address here so if I go ahead and put one of my different email addresses in here and all I had all I have to do is go ahead and hit close now I could go ahead and send this message here I'm just going to close this one because I are already sent it here and you can see here if I go ahead and hit reply the reply is to the email address I changed it to so maybe you don't want to go into the exact same one you sent it from make that quick change this is something

Quick Access Toolbar

that's often overlooked and that's the quick access toolbar in the top left hand corner so you can see by default there's send and receive undo but this little arrow allows you to put more up there for quick access options so if I go ahead and click on it you can see when it pops down I could pick any of these to add to it so if I wanted to add print you can see the little printer comes up there if I drop down here and go to more command so you can see I can customize different things that I want to put on it so if I pick some of these and I add it to here and go ahead and note it okay so now I have another option additive forward one here so customize that quick access toolbar to save you time when working inside outlook the last tip I have for today is

Change View

you don't have to have the look that is defaulted inside outlook so by default what we get is our navigation pane we have our message pane and we have our reading pane we can change these around go up put in the top here and click on View and what you can see is you can make some adjustments and I'll show you a few different ways to do this click on View you can see you get compact single preview and you can switch these around to get something the way you want it - you can click on view settings and this is where you can sort group and filter things differently again set up and personalize you the way you want now over on the right hand side over here you can see you have some more options to quickly turn in your view into something else if you wanted it to be adjusted here just simply click on these to see all the different options and layout that you'd like that would be getting you reading the emails the way you want to I hope these seven tips for Outlook will come in useful and it'll save you some time now if you have liked this make sure you hit that like button share this with a few people and remember I do these weekly tech tips I have a lot of other Microsoft Office tutorials on my channel and a lot of other channels so if you're interested check it out and hit that subscribe button thanks for watching this time and I'll see you next week
