Introduction

hi I'm Jamie and welcome to teachers Tech today  I want to show you how you can pull data from an   image into Microsoft Excel so what I mean is maybe  you come across a table like this on the web or on   a PDF and you don't really feel like typing it all  out I'm going to show you how you can quickly just   take a screenshot or if you get a piece of paper  take a picture and pull that right into Microsoft   Excel and I also want to show you how you can  use co-pilot to help you out with this let's say

Extract data from a screenshot into Microsoft Excel

you come across data on a website or PDF and you  notice you can't go ahead and copy it anyway uh   you don't feel like typing this out so we're going  to go ahead and do a screenshot here so I'm just   going to use the Windows key plus shift and S to  take a screenshot of this when I take a screenshot   I just want to kind of take the screenshot of just  what I need so I'm just going to go around that   area just like that so as soon as I do this this  is copied onto the clipboard I'm going to move   over to Microsoft Excel now when Excel is open  I need you to go over to the data Tab and then   take a look at this in the ribbon so we're under  get and transform data we're going to go from   picture so it's going to be from the clipboard  and it's already on the clipboard when I took that   screenshot so I'm going to just going to go ahead  and click it and notice over here we have this   information coming through from the clipboard this  is in red that's because they're saying I should   check this so how do we do this well we can review  this so I'm just going to go ahead and hit review   and I can accept or I can just go through and  see but if it looks correct I can go and just hit   accept and as I go through and double check all  this stuff if it looks right I can just accept it   accept it and then when everything looks  good I can go ahead and just hit insert so insert   the data and there it is right inside of my Excel  sheet where I can do more formatting that's going   to save you a lot of time when you're looking at  the other way being typing it all out let's move   on to maybe you get this on a sheet of paper and  you just take a snapshot with your phone this time

Extract data from a picture you took into Microsoft Excel

let's say you get a paper copy of something and  you want to take that data from it into Excel so   you take your phone you take a picture you upload  it to your computer we go to dataa here   and we're going to go from picture this time it's  going to be from file so that picture I took from   my phone it has to be placed onto my computer I  have it on my desktop in this folder right here   I'm going to select it and hit insert so this  picture that I took uh you'll notice that it has   the Shadow on it when it processes it uh but it's  still going to find all the things that I need   there's the entire picture here I didn't even do  any cropping of it I can go ahead head and review   it will go through the same way so I'll just go  accept accept and I'll go through all these   quite quickly because everything looks like it is  working out so I'm going to accept everything and   then hit insert data and here we are so  that's where my cell was collect and that's why   I went to that spot so that's how simply you can  pull data from a picture that you take on your   phone into Microsoft Excel now I want to show  you one more way a new way that you might have

How to use Microsoft Copilot to extract data from an image into Excel

not have thought of using co-pilot now I'm just  back on the original file this PDF that's on the   web here I have Microsoft Edge open I'm going to  open up co-pilot so just in the top corner here   I'm going to click on co-pilot and have it open  I want to point out that you can do a screenshot   right in here and ask co-pilot to create a table  from it so with this add a screenshot if I click   on this I can go pick the whole thing or maybe I  just want a certain area of it so if I go ahead   and pick these I can go and hit done and it  will be added to here so what would I like to   be done with this well I'm going to ask it to uh  create a table for me so create a table with this data and let's see what happens so now it  went and created this table for me I   can simply take this from here contrl C go over  to my Microsoft Excel pick my cell where I want   it and paste it back in So if I want to paste  it uh with the formatting you can see or I just   go to match the destination and there's that  information so using co-pilot you can ask it   to look through a screenshot and pull it out  into a table if you're not using Microsoft   Edge you can still do the screenshot like I  showed you before with the windows key shift   and S take your screenshot of what you need  and as soon as you do that if you go use just   co-pilot go to C- pilot. microsoft. com you can  paste this in so if I just go contrl V it will   paste that screenshot here and I'm just using the  free version at this point I'm not even signed in   I can go ahead and ask it to do the same thing so  I'm just asking it to place the following data in   a table and there we go here's the data and I  want to point out here is edit in Excel so if   I go and click on this it will open this out  up in Excel online here's the data right here   already in Excel but at this point if you wanted  to download it you can just go to file save as   and save as a copy back on your computer so just  some different ways to take an image and extract   the data from it and place it in Microsoft Excel  I hope these Microsoft Excel tips that I gave you   here today will save you a lot of time if you  don't have to type something out why bother so   I'm also going to put a link to my Microsoft  co-pilot 365 video to show you all the great   things you can do in co-pilot check down below in  the description and up above in the card thanks   for watching this week on teachers Tech I'll see  you next time with more Tech tips and tutorials
