Intro

hi there jamie keate here today at teachers tech hope you're having a great day today today i want to show you how to use microsoft's onedrive so maybe you're new to the whole cloud experience and you're looking for a place to upload your files or photos to the cloud where you can access it from any device or maybe you're coming from the world of google and you're looking to see how onedrive will compare with google drive so in this tutorial today i'll go over how to set up your onedrive how it compares with google drive so you can see if it's going to be the right tool for you so let's get started with microsoft onedrive on teachers tech today so if you're looking for all the different things i'll cover in this video just look down below in the description you're going to see everything timestamp so you can kind of just jump to something specifically i'll be going through different things in here from setting up a free account then showing you from office 365 and using the app you know to even the apps on the computer like microsoft word and how it connects to onedrive so again just look down below in the description but let's get started here with just taking a look at the free onedrive account

Getting an OneDrive account

so before we start if you don't have an account yet you can go ahead and sign up for free you can take a look at the plans and pricing of different ones by just going up top here i'll just click on for home you can see this is the free one that you can sign up and i'll be starting the demo here today with a free account that i've created you get five gigabytes uh with it and you can see this includes one drive if you do want extra storage you need to pay here's 199 a month uh 400 gigabytes and you can see how microsoft 365 and the cost for it but you see you get the apps added into this too and like i said in this tutorial i'll move over to one of my other accounts uh where i'm using office 365 and i can show you how things like microsoft teams works in your onedrive also but go ahead get signed up for a free one i'm gonna go get logged into mine i'll put the link to

Login into OneDrive

this website down below in the description so you can just click on it also and come to this page i'm going to go get signed in i already made my free accounts i'm clicking signed in but i just want you to notice at the url up top you can just type in onedrive. live. com and you're going to get into this up page too but i'm going to go ahead get signed in with my free account that i created and when i go through i'm just going to go through enter my password hit sign in and then it's going to bring me to onedrive so this is where your information is going to be stored this is in the cloud so right away i'm just

Walk around and views

going to do a little walkthrough here if you're used to google drive it has a similar look to what you might see but i'm going to start just up in the left-hand corner right beside where it says one drive now if i click on this what i want you to notice this the app launcher you can see the other apps that you'll be able to use for free and these are the online versions so right from here i could click on this and it's going to open up a microsoft word uh the online place where i could create a document on it so i'm just going to hit this again and you notice i can go back to one drive and in this video i'm focused on one drive if you're looking at some of these other apps i do have tutorials on these such as if you want a great organization tool like onenote or how to use excel or word but i'll put the links to those down below now i'm going to keep working my way down here you can see where it says my files when you're clicked on this is going to show you what's right in here right in front of you recent will be the ones that any files that you most recently worked on photos so if you're in the if you're looking at it from your uh office 365 or your work one maybe you don't have that full uh photo place in it but this is where you would store your photos and you can make albums from there i'm gonna click back on here shared so just like in google drive if you're used to that you can share full files and folders with other people you just have to give them permission and then they'll have access to access a certain file that you have or maybe a folder that you have too but we'll get into that a little bit later how to do that and then we have our recycled bin over here a great tool is the search tool if you're looking for something if you get a lot of files in here you can search in here so you just type what you're searching it will even go inside uh the files if there's something written in there to find it to help you find exactly maybe if you've lost something to go through everything just looking up the cro across the top we can see where we have our settings on it you can upgrade as i said i'm using the free one if you wanted to quickly up grade on it we have our help question mark over here if you're looking for something more specifically we also have uh this is kind of how the files are displayed here if it's by name by when it's modified or by size it will show in those orders so right now it's an ascending order over here i could go descending and you'll see it just switches around alphabetically on it so i'm just going to go back to ascending and then you can change what type of look at it do you want it as a list if you like this view right here do you want it in tile so you can go and pick

Personal Vault

the different views on it now before i start creating anything new i just do want to point out that there's the personal vault here in this free one and the home one that we're using right here so this adds another layer of security of if i click on it you'll see it's going to be secured by two-step verification auto locks after 20 minutes of inactivity so you put things in there and it's just going to add that to extra level of safety that it's either going to be to get into it you're either going to have to make sure that you have an email connected to or your mobile device and then it will send messages so you have to make sure it's making sure that it is you but i'm not going to be setting up that for me in this video but i just wanted to point out what it does so now what we're going to

Creating folders and files in OneDrive

do is create some folders and files and then upload from our computer is inside our onedrive account here now to create a new folder there's a couple different ways you can do it and i tend to go with a right click so if i right click anywhere you notice i get the new option and i can go new and i can even do upload file in folders i also have the new right up here that i can go to so either way will work fine now let's go ahead and create a folder i'm going to right click new and i'm going to go folder call this demo 1 just like this and hit create and it's going to create a folder you can see since it's alphabetical it went to the first place here now i'm going to create another folder here same play in folder and i'm going to just call this demo 2 now so it's going to create this one you'll see it will show up right after so i have all i have two new folders you can move these folders around too so

Moving folders

i can take a folder like this and i'm clicking and holding and i can drag and it's going to move that over you notice demo 2 just disappeared where did it go if i click on this one i went into that one now i can see i my breadcrumb trail i'm in demo one if i go in here i'm in demo two i can click at different parts to go back levels like this so again you can move that's one way you can move for your folders you can go back if i right click i just want to point out you can move right from here too so i can right click move to and then it asks me where do i want to move it to so maybe inside documents i could click and it will move it to there so if i click up to the top move it should go back right to my original place now it's back in demo too so you can drag or you can right click to do the move uh to it now the next thing i want to show you is how to create a file from right inside here and this is great if you like microsoft products you have access to microsoft word and

Creating documents and moving

powerpoint and excel online if i go ahead and right click and i go new and now you can see i have word excel powerpoint onenote forms plain text document i'm just going to go ahead and click on word document here and when i click on that what opens up is microsoft word online now this would be comparable to if you're in google if you're used to google this would be equivalent to a google docs and you can do i find this more robust than google docs you can do more things it's closer to what the app is if you have the app to download on your computer with microsoft word but i can go ahead and start typing in here and if i go back so i can click on the app launcher i can go back to my onedrive this way or i can just move the tab over also but what i want you to notice is that i have this word document here and i didn't name it at all but you can see if i right click on this one i can go ahead and rename and i can call this demo word doc i'll just do demo word doc and hit save and i've adjusted the name now just like i did with the folders i can move this so if i want to move this i can go ahead and click and drag it to a folder you'll see it be moved from here and now it's in demo two right here so the other thing i just want to point out uh take a look when you select this little select these you have options across the top where you can delete move to copy to same thing if i right click you get all the different things that you can do and i'll talk about a few more of these as we go along i here to make sure you know how to work all these different file types here so i'm going to go back to my files and then i'm going to create one more document and i'm going to go new and i this time it's going to be a powerpoint presentation so i can go to powerpoint presentation and i'm just going to call this i'm going to start it up and i'm just going to call this demo again i'll just give it a title here it in here i'll type and then up top i can change the name here this is where i can change it from presentation to demo and now i'm going to go back i'm going to click on my onedrive file and you can see there it is and again i can move it to where i want to keep things organized and i'm just saying move it anyway and there we go so that's how we can create some folders and files in here now the next thing is i want to upload some maybe i have some pdfs or some powerpoints or word files on my computer i want to upload them now again we can

Upload files and folders

right click anywhere we can upload files or folders we can go into our folders and upload it and remember we can move them around after i'm just going to go inside demo 2 right here and i'm going to right click i'm going to upload files and folders so i'm going to actually do a file this time and i'm i have some things on my desktop i'm just going to grab on my desktop and i'll look at this word document so this word document was created inside microsoft word and on my computer and i've uploaded it and now even though i created with my microsoft word app i can go ahead open this and it will open it online and actually later on i'll show you how you can connect your app if you're using microsoft or powerpoint you can connect it to one drive and it will just keep saving there and you can keep working on your apps also so if i go back to here now i'm going to upload some photos to get your photos to show

Uploading photos to OneDrive

up here all you need to do is upload them to onedrive just like all your other folders and files so i could hit the upload or right click just like what i showed you before but another thing you could do you can drag things right over so for instance this one right here this picture i'm just dragging it right over and i could do this with any of the other files too i could just drag them over and you can see that now there's the image here so again i could grab another one drag it over and i'm putting these photos into my onedrive the onedrive knows that their photos so what happens is if i go over to photos now i go over here and i can see that they're loading up in here so i didn't place them directly in photos but now after refresh you can see that they're both there i just want to point out in the top right hand corner here all it could be show folders show photos from all folders or from pictures folders so maybe if i go back to my files you could move these too so i could right click on any of these if i want to do multiple ones i could select multiple of anything like this and then it allows me to actually go up top and hit move and i can do multiple ones at a time so it could save your time rather doing one at a time so then i could go click on pictures and hit move and now what you'll notice they're not showing up in my onedrive they move to this pictures folder right here now if i go back over to photos these are showing all folders or i could just look what are my picture folder but it's going to be the same because i moved those two over but do remember you can drag your files over to just as simply here's a powerpoint i can drag it over and it will upload and you can see it's uploading the one item to it i could do the same thing with uh any there goes right there i could do it with a whole folder i could drag it over and then it's going to be there too and there it is now uploaded with all the material that was inside that one folder so it makes it easy to just drag and drop things over and everything's secure in one drive you have it in a backup place so you could do this with your photos your documents now the other thing is you could work with these online if you're using microsoft word and powerpoint like i showed you before i've just like if this is a powerpoint here that i did in an app i can double click on it and it's going to open up in powerpoint online just like that now with any of these you can download also so i've been showing you the upload and creating but if you right click on any of these you can see there's the download option

Downloading files and folders

so if i wanted to download to my computer i can click on it and hit download again we can select multiple things to download as you notice if i select a few different ones uh i can do different things to it i can go delete all of these so if i want to delete multiple ones if i wanted to move multiple ones but if i wanted to select i'm going to go actually into this example folder i could select on multiple ones here and at this point oops i unselect them i'll go back and you can see we have our download so i could click download and what's going to happen is they're going to zip it when i have multiple ones that i've selected together to download they zip it and i have this onedrive zip but i can go ahead click on it and it's going to open it up where i can extract it from here and then open those files here so what

Sharing files and folders in OneDrive

makes the cloud so powerful is the easy ability to share with other people now for instance take this powerpoint here that i've uploaded and maybe i want other people to work on it as well i can share it with them and give them privileges to work on that so i could select it hit share right here or i could do what i showed you before right click hit share and now at this point you can see anyone with the link can edit now if they're going to edit it they're going to need a on at least an online powerpoint account too so they'd need a onedrive account to be doing any uh editing with that but they you could type in the person's email right here and hit send and you could also do a give a message i could change the permissions too so i could go here maybe it's specific people uh that i could want and then i could click on them and hit apply and i could it will i go back to here where i can add the people type in their email address now if i go back here if i don't want to allow editing i can go just click this off and now they can't edit anytime you see any of these like set expiration date or the password uh those this little symbol is it's a premium account so you won't be able to do that with the free account but you can just still do some sharing after you hit it all you have to do is hit apply maybe you copy the link here and you could send it to an email if you want to access it there but just put the email of the people that you want uh and then so if i was starting a email in here i could put my other account like so and it will come up here and i'll click and hit send and then i would get notified from that account so that's the sharing and you can do that with everything you could do that at a file level i could right click on a folder i could share an entire folder out with people too so depending but the thing to remember if you share the folder anything you put in that folder gets shared out too so make sure you know what you're sharing and whether you want people to be able to edit the documents that you share

OneDrive app on mobile

with them so i've just switched over to my office 365 account just to point out a couple differences and i also have my iphone open and i'm going to open up the onedrive app that's connected to here so i want you to be able to see like you can work uh the thing that makes it so great working in the cloud and everything i on any device you have all the same things that you can easily access and i'll show you some neat things you can do with your mobile device here uh too now if i go ahead and just show you on the left where it says shared libraries

OndeDrive shared libraries and Microsoft Teams

i just want you to understand that these are a little bit different when we use microsoft teams every time a team is created it shows up right here so inside it's connected to the one drive it creates a shared library inside uh inside one drive i can create a shared library in here and add people to work with all the different documents that are needed but anything inside microsoft teams will show up here now just looking at on the app side of it you can see that everything is right here so i have all the files i have the shared libraries on here that i can quickly access what i want to show you is that you can use you when you're using the device i i'm going to just hit the camera in the middle and i'm just going to scan

Scan a document with OneDrive Mobile app

do a quick scan here and i'm going to hover it over here and you can see we have a different options from business card to whiteboard so i'm going to go up a little bit more it's hanging over the edge so but it will work here i'll go up a little bit more right there and i'll take the picture it was a little bit hard when i was uh just shaking there like that from the angle i was at but i'm going to hit done like so and then again so that was just a picture i'll hit done and maybe i want to upload this uh to it but what's going to happen is i'm just going to hit the check mark in the top right hand corner and it's going to save it over here so now i can see i'm just going to do a refresh and you'll be able to see the one from a few seconds ago so i quickly did that scan now the neat thing about this so that

Download scanned PDF then open and edit with Microsoft Word

was just a picture that it turned into a pdf but what i can do is i can download this and watch this so if i download this and i'm going to go here download it just to hear i want to open it up in microsoft word actually so i'm going to go and open up by microsoft word now and i'm just going to go ahead and hit open and i believe that just went into my download so that was on my pc here and i'm just going to go browse and just go to my downloads here and it was this one right here so i'm opening it and hit ok i'm going to move my phone out of the way and what i want to show you this is a word document now so i just took the picture on my phone and i was able to download it i was in my it was in my onedrive and i downloaded it now i opened it inside microsoft word and i can fully edit it here so you can see as i go through if i needed to change anything everything's right in there so that's a kind of a cool feature to have when you can scan things in and then use your microsoft word and then just open it up like that to quickly do some edits of pdfs

Installing OneDrive app to sync the computer with OneDrive online

so now what i want to show you is how to have a place on your computer where you can have the files automatically syncing with your onedrive odd line so it just takes all the files from a certain place on your file and uploads them so that they automatically go to one drive uh and how you do this on the bottom left hand corner you can see get the one drive apps here so i'm gonna just click on this and i i'm using windows 10 right now so it's already installed on my computer and if you're using windows 10 you probably already have it installed too if you don't you can go through download and install it on your computer this will work on your mac i also have it on my mac but i'm going to hit start one drive right here and i'm going to hit open and now at this point all i would do is put my address in of what i would be using for my personal this is my personal one on it so i'll go ahead and put this in and sign in and it's going to go through and connect now i'm going to have that so it just showed me so onedrive personal all these folders here so i'm going to just click on my onedrive just to show you and i'm going to open up this folder that at the same time you can see it's the same files names right here so creative cloud files everything is starting to sync so if you see the green check mark right here that means that it is already synced so it lives in both places it lives on my computer and lives in the cloud now if it has just the cloud that means that it is just in the cloud and it hasn't synced yet and this right here means that it is uh in the process of syncing so i'm just going to move this over here and if you go down if you're in windows you can see i have these clouds here you might have them in this little arrow up they might be right here for you can drag them out of here if you want to see them a little quicker and drag them into your taskbar here and then now if i go here you can see this one is syncing all is syncing so it's not blue yet this one is fully sync and if i click on it shows me what's happening here it's syncing through different files if i hit view online it just brings me back to this over here to see view online but i can go ahead and open the folder so i can open the folder here now what i can do anything i put into that folder will sync with my onedrive so for an example if i have all these things and this one if i take this intro and i drop it in to my personal we'll just drop it into this top level one it's going to be copied in through here so you can see it's intro and it says it's syncing right now because it's going through so when that becomes a green check mark that's going to show up over here so if i refresh it and see if it's synced yet it hasn't synced yet so i can go back and so it's in the process because i have a lot of other files but anything i place in there will come into here so and then you can check it now if i right click on any of these two so if i right click you can see how you can have a few different options if you wanted to move them out of here too but so this is where you can be working from the online environment and uh and working on your computer now whenever you install this on a computer it's going to bring all your information from your onedrive so if you install this on three or four different computers it's going to sync all these different ones up so you'd have it living in a bunch of different places and now if that's what you want that's fine if you have enough room for that so i hope this gives you a good understanding of how to use microsoft onedrive if it's new to you and you're just getting started let me know what else about onedrive and other microsoft tools you're looking to learn about thanks for watching this week on teachers tech i'll see you next time with more tech tips and tutorials
