Intro

A few years ago, I used to think that Google Sheets was just a spreadsheet for managing rows and rows of boring data. This was until a friend of mine introduced me to the near infinite possibilities for tools and features that can be built with Google Sheets and App Script. Things like sending personalized email campaigns to your contacts, generating invoices and quotes, automating email reminders, as well as creating meetings with a single prompt. This is all within Google Sheets. It's actually mind-blowing what is possible with which ultimately eliminates the need for dozens of separate third-party subscription-based tools and apps. So, my focus in this Google Sheets video is to share 10 incredible things that can be created inside of Google Sheets. Okay, so with that intro out the way, let's go ahead and dive into Google Sheets. Okay, now just quickly before we dive in, some of these tools and features I'm going to be covered today can be created with formulas. However, on the other hand, many are built with App Script, which is the back-end code that can be added to your Google Sheets file. Also, for the purpose of this tutorial, I'm going to navigate through and show you these epic Google Sheets features and tools that we built inside our own Google Sheets templates. Essentially, in another brand that I created called Sheetify CRM, we've developed powerful Google Sheets business templates. So, I'll be mentioning these throughout this video. All right, let's get into it. Here we are inside this Google Sheets CRM template. First, did you know that you can send bulk personalized email campaigns to your contacts from directly

Send personalized email campaigns with Google Sheets

inside of Google Sheets? Let me show you. Now, as a Google Sheets user, what I can do is navigate over to the left-hand side and simply select the contacts that I want to send an email campaign to. Then, this Google Sheets feature allows you to navigate up to Sheetify, and you can build any kind of custom menu like this. For this particular Google Sheets template, we created a custom menu called Sheetify. Now, if we navigate down to email marketing, these are the different email templates that we can send to our contacts. Now, before we do this, what we can do is navigate down to these Google Sheets tabs and locate email templates. In this tab, you can customize your email templates the way that you like. These have already been created for you. For example, let's take a look at this email template here, this email campaign, discovery call. Here we have the email subject. As a user, we can customize this and add our own subject line. Then, if we navigate over here, this is the email body. And as you can see, this email campaign is personalized. We have the name placeholder code here, which is going to pull in our contact's first name. Then down here, I'd love to learn a bit more about company name. This is another code snippet that will pull in the contact's company name. Then down here, feel free to grab a time that works best for you here. And again, this is another code snippet. What we can do is add a link in here. This could be a link to a booking form or an appointment scheduling link. And then here, we can add any text that we like. Okay, so I'm going to add my appointment scheduling link in here. Okay, so I've added my scheduling link, my calendar link, and I'm happy with this email template. Again, with this Google Sheets email marketing feature that we built into our Google Sheets template, you can create your own personalized shortcodes. So again, with this email campaign, we're pulling in the contact's first name, as well as company name, and we're sending a booking link. Now, what we've done is if we navigate over to settings over here, and then navigate across, you'll notice these email marketing settings. And here we can see the shortcode that pulls in our contact's information. For example, the phone snippet will pull in the contact's phone number, name, this code here pulls in the first name, and then we have more down here. Again, company name will pull in the company name. And you can customize these if you like. Okay, now let's jump over to contacts and leads. And remember we selected these three contacts. We want to send a personalized email campaign, the one we just looked at, discovery call, to these three contacts. And remember that email campaign is going to pull in their first name, as well as company name. We can also choose to pull in this other data if we like inside our email campaigns. Okay, now let's navigate up to Sheetify, the custom menu, email marketing, and we can choose the email campaign we want to send to these contacts. We just looked at the discovery call, so let's go ahead and send this campaign. Are you sure you want to send a discovery call email? Yes. And you can see, you sent three discovery call emails. You can create toast messages that pop up like this. Now, let's take a look at the email campaign that we just sent to our contacts. And as you can see, this is an example of what an email recipient will see. This is the email that we sent to our contacts on Google Sheets. Here we have the subject line, jump on a discovery call. And as you can see, this email pulled in the user's first name because we used the first name snippet in the email template. And then down here, I'd love to learn a bit more about Beyond Nine, which was the company name snippet. And you can see your emails are now personalized. And then down here, we linked the booking scheduler. So, if the user clicks here, then that's going to take the recipient to this booking page where they can book a meeting with me. Okay, let's jump back and jump into the other example email recipient to show you the personalized email inside their inbox. And as you can see, this email was sent from me, hi Sam. Again, it's pulling in this contact's first name, as well as their business name. And then we have the booking link here. Now, automatically, the cool thing about this tool is your email signature that you set up in Gmail will also be sent. Pretty cool, huh? Let's jump back into the Google Sheets template. As you can see, that's how you can use mail merge or an email marketing feature inside of Google Sheets, so that you can bulk send personalized email campaigns directly to your contacts inside of Google Sheets. Now, another cool feature that can be built inside of Google Sheets is the

Create and schedule meetings with Google Sheets

ability to arrange and send meetings from directly inside of Google Sheets. This meeting feature is mind-blowing Again, I'm using this Google Sheets CRM template as an example. What this mind-blowing feature allows you to do is simply click on a contact or any of these rows. So, let's say I want to set up a meeting with Sam Smith. What I can do is navigate up to this custom menu. Again, this can all be built inside of Google Sheets. Then navigate down to create new meeting. Now, here you can see we have two options. Do we want to schedule a Google Meet? Basically, this is asking if we want to create a meeting online that has a Google Meet link, or do we want to schedule a meeting at a physical location? This example will be an online meeting, so I want to select yes to create a Google Meet. Then up here, you'll notice that we're scheduling a meeting with Sam Smith, and you can see their email over here. Now, all we need to do is add a description of the meeting that we want to create. And we need to format it like this. For example, I want to quickly set up a sales meeting at 6:00 p. m. for 45 minutes on Thursday, 11th of June. Then we can simply click okay, and you'll see this toast message appear, calendar event with Google Meet created. And again, you can customize these toast messages inside of extensions and under App Script. Again, this is where all the code is held in the back-end of Google Sheets for creating tools like this. Now, let's go ahead and open Google Calendar and jump over to June 11th. Here we have June 11th, and you can see that event has been created, sales meeting at 6:00 to 6:45 p. m. And you can see all the details here. Let's close out of this and Google Calendar, and now let's see what it looks like inside this recipient's email. This is an example email that I actually own. And as you can see, the email recipient, the Google Sheets contact, has received this meeting invite. Sales meeting, Thursday, 11th of June, and this time zone is different because this email is set to a different time zone. So, the time is automatically updated based on your user's time zone. They can then come down and click yes or no, as well as see the meeting information down here, the organizer, time, as well as the meeting link, which is a Google Meet link. Pretty cool, huh? Now, remember I mentioned you can also add a physical location if you like, which would remove this link and add the physical location of this meeting. Okay, let's jump back into the Google Sheets template. And how cool is that feature built inside of Google Sheets? Again, let me know if you want to build this yourself down below in the comments. This tool can also be found in our Google Sheets CRM template. Now, the next feature that I think is really cool that I want to share is the ability to generate invoices and quotes

Invocie and quote generator in Google Sheets

from directly inside of Google Sheets. Let me show you. Okay, so here I am inside a different Google Sheets template. This is a bookkeeping template. And what you can create inside of Google Sheets is the ability to generate invoices and quotes. This is powerful and eliminates the need for an expensive subscription-based accounting software. Okay, so how I've set this up inside this Google Sheets bookkeeping template is under setup, we can navigate across. Here we have the invoice settings, and then we have the quote settings. Now, I won't actually walk you through the process of setting this up inside of this template, but if you want to learn how to set up the invoice and quote generator, then I will add a walk-through video down below in the description. However, let me show you this mind-blowing feature in action. What I can do is open up this invoice form link, click here, and that's going to open up a connection with Google Forms. The great thing about using Google Sheets and App Script is you can create dynamic connections between other Google apps. For example, the previous tool I just showed you connected Google Sheets with Google Meet, allowing you to generate meetings without needing to leave Google Sheets. Okay, so here we have our invoice details. Now, quickly go ahead and fill this out. I'm going to do that now. Okay, so just quickly I added an invoice number, invoice date, due date, the customer's first name, last name, company name, address, phone, email, a discount and tax if any, as well as unit one, which is essentially the item I'm billing, web design package, the description of this item, and then the price for this item. Now, you can also add other items to this invoice if you like. For example, I added a branding package. The description was an online design package, and then the price down here. As you can see, this is an example of a web design agency that's billing a customer and creating an invoice for a design and branding package. Okay, once you've added all your items, we can come down and click on submit. And as you can see, new invoice created. Let's jump back into Google Sheets and then jump over to invoices. Here you can see the invoice data that we just created. Now, if we navigate across, you'll see the invoice URL. This is the invoice that has been generated. Let's go ahead and open this up, and as you can see, all the invoice details that we added have been added to this Google Doc. And you can customize this invoice template the way that you like. Again, you can find how to do this in the setup guide I linked down below in the description. Again, that video guide is specifically for our Google Sheets bookkeeping template. Now, we can do a few cool things with this invoice. We can either manually share this invoice and send that to our customer, or we can manually navigate up to file and then download and download this invoice as a PDF. Even better, what we can do is jump back over to Google Sheets, and we can click on the invoice we just generated, jump up to Sheetify, locate invoices, and we can send invoice to email. That will automatically send the invoice to the customer's email. For example, send invoice, send invoice to, and it has the customer's email. Let's click on yes, and you can see the invoice has been sent to the customer's email. Click okay, and as you can see, the invoice data has automatically been changed to orange. This represents that the invoice, the email has been sent. Okay, let's jump into the recipient's email to show you what the email and invoice will look like from the customer's point of view. And this is what the customer will receive. Hey Sam, and it's going to pull in the customer's first name. Please see the invoice attached. If you have any questions, please let me know. Then the customer can come down here and download the invoice or click on the invoice, and it's going to show them a preview of that invoice generated. Pretty cool, huh? Okay, let's close out of this and jump back over to Google Sheets. Hey guys, just quickly, did you know that over 90% of you that enjoy our free educational content have not yet subscribed? And just quickly, with a quote and invoice generator like this that you can build inside of Google Sheets, you can also do a few more things. For example, if we jump up to Sheetify and then invoices, we can create and duplicate a new invoice based on the data. So, if I click this, a pre-filled form will be generated. And as you can see, we can quickly duplicate and create an invoice quickly. All this information is the same, and we can make a few changes if we like. This is a quick way to quickly generate a new invoice or quote. Okay, let's jump back over to Google Sheets. Now, what you can do is click on this invoice. Remember, we've sent this invoice to the customer, and once they've paid this invoice, we can navigate up to Sheetify, invoices, and then we can copy invoice data to income. And that's going to send the invoice data over to the income sheet. And this is where you can track all your income transactions and expense transactions. Again, if you want to learn more about this Google Sheets bookkeeping template, I will add relevant resources and tutorials down below in the description. Now, the exact same process I showed you, you can do the same with quotes. I just showed you the invoice example. However, pretty cool, huh? You can essentially build a quote and invoice generator directly inside of Google Sheets that connects to Google Forms and Google Docs. Let me know down in the description if you want to learn the step-by-step process of actually building this yourself. Okay, let's move on to the next feature. This is the ability to send tasks from Google Sheets

Send tasks from Google Sheets to the Google Tasks app

over to the Google Task app. Let's dive in. Okay, so again, here we are inside a Google Sheets CRM template. Now, if we navigate down here, you'll notice that we're on the client tasks sheet. This is where we can manage tasks. Now, not only can we add tasks across here and the task details, we can also choose to send data, these tasks, for example, to the Google Task app. For example, let's say example task C is assigned to me. Then what I can do is click here or on any of these cells across this row, and then we can send these tasks to the Google Task app. If I jump up to task list, here we have the different task lists. I want to be on client tasks. Now, we do not need to open up the sidebar in order for this task feature to work. I'm just going to show you what it looks like when we send tasks from Google Sheets to the Google Tasks app. Again, click on the task, navigate up to Sheetify, then for us, again, we have this custom menu, Sheetify, and we've built Taskify. However, if you're building this tool inside your own Google Sheets template, you can add your own custom menu. Then down here, we have send client task to my tasks app. And as you can see, client tasks added to client task list. And up here, you can see the task list. We're on client tasks, and the task has been added here. You can see the task name has been added, and then this other information, the contact name, assigned to, priority, as well as description and time due, as well as the date here. Now, we can preview this task inside of Google Calendar as well as the Google Task interface, the full web interface, by simply clicking here. And as you can see, we have all our tasks, and we have the task in here under this task list. The great thing about this feature, being able to send tasks from Google Sheets to the Google Tasks app, is you can download the Google Tasks app on your mobile device, meaning that you can manage your tasks on the go. Okay, let's jump back over to Google Sheets. Now, it's important to note that if you have multiple users using your Google Sheets template, you can only send tasks to your Google Tasks app. So, for example, I'm going to change this to Sam. This task is assigned to Sam. I cannot click on this task and navigate up to Sheetify, Taskify, and send this client task to their tasks app. It will only send it to mine. However, that takes us onto the next option, send client task to the calendar app. Okay, so this next feature is similar to the Google Task app feature I just showed you. However, this time we're

Send tasks from Google Sheets to the Google Calendar

sending tasks to the Google Calendar app. Let me show you. What we're going to do is navigate up to Sheetify, Taskify, and send client task to the calendar app. Now, this is important if you want to send a task to another team member. This example is we have a task we want to send to Sam, to his Google Calendar. Again, I can navigate up to Taskify, and let's go ahead and click send client task to calendar app. And as you can see, client tasks added to Google Calendar. And here's an example of what an email recipient will see. They will see an invite to their calendar, as well as the details of their task. Okay, let's jump back over to Google Sheets. So, those are two cool features that you can set up inside of Google Sheets, being able to send data to both the Google Tasks app and Google Calendar app. This just depends on your workflow and what you want to build inside of Google Sheets. We've actually built this feature inside of all our Google Sheets templates. Again, I'll add those down below in the description. Next, did you know that you can trigger and set up email automations from inside of

Setup email automations from Google Sheets

Google Sheets? Let's look into this. Okay, let's take a look at this template as an example of setting up email automations. Again, we're under client tasks. Now, under Sheetify, this custom menu that we created, we have set up Sheetify, and then we can choose to enable these automations, enable sales status email notifications, and enable client task status email notifications. Okay, so once these have been enabled, and with client tasks, as soon as a status has been updated, then the assigned task owner will receive an email notification. So, let's update the status to completed. This task is completed, and you'll see this toast message down here, client task status update, email sent to, and it's the assignee's email. Let's jump into my email and see what this looks like. And as you can see, task status update. And this is from me. Now, we can change this name in settings on the template. This is the body. Hey Stuart, this email's to notify you that your assigned task, and that's going to pull in the task name, and it's also pulling in the client's account, has a new status of completed. And that's the new status, and then we have other custom and personalized details being pulled in, like the task due date. And then down here, as an owner of this template, I can click here, and that's going to take me directly to the Google Tasks tab. For example, let's click here, and that's going to take the email recipient, the assignee, who clicked on the link inside that email notification, back here, where they can preview that task. This is a powerful feature allowing you to set up email automations, and you can do this based on any kind of trigger. In this Google Sheets CRM template, we set up this email notification for statuses inside of the client task tab, as well as in contacts and leads, and for the sales pipeline status. So, if this status changes, the assignee of this deal will be notified. Pretty cool, huh? Again, this is done inside of App Script. You can also find this inside our Google Sheets CRM template. Auto import contacts from Gmail into Google Sheets

contacts from your Gmail account directly into Google Sheets. Let me show you. Here we are inside of contacts and leads. This is inside our Google Sheets CRM template, where we manage all our contacts and leads. Now, let's say we want to automatically import contacts from our Gmail. Well, you can set this up like this inside of Google Sheets. How we've done it is if we navigate up to our custom menu and then click on import contacts, all we need to do is click on set up Gmail labels. And that's going to set up labels inside your Gmail. Let me show you what I mean. Down here, inside our labels, we'll see Sheetify, as well as this tick and import. Now, we just need to click and drag and place this on the email or the contacts that we want to import into our Google Sheets CRM. Again, I can navigate down here, click and drag import and place that here, and let's do one more, import. And now, if I navigate over to import, we have these three contacts that we want to import inside our Google Sheets template. Once they've been imported, they'll be labeled with this tick icon, showing that those contacts, those emails, have been imported into Google Sheets. Okay, so we want to import these three emails, simply jump back over to Google Sheets. And again, here we are inside my Google Sheets CRM template. I can jump over to Sheetify, import contacts, and import labeled Gmail contacts. And we've set up a notification like this, three new contacts imported, okay, and you can see those here. We can see the full name, first name, and the email has been pulled in. We then need to add the company name and these other details if we like. Then if we navigate across, we can see the date added, the source they came from email, and then automatically we can preview the conversation inside our Gmail. If I click here, that's going to take me to the conversation in my Gmail account. Okay, let's jump back over to Google Sheets. What we can also do is navigate up to Sheetify, import contacts, and we can set up automatic weekly import. So, all the labels that you add inside your Gmail on the contacts every week on a Monday, those contacts will be pulled into your Google Sheets template. Pretty cool, huh? So, with Google Sheets and App Script, you can automatically import your contacts or manually import your contacts from Gmail into Google Sheets. Again, we've added this feature inside our Sheetify CRM Google Sheets CRM template, which again is linked down below. Send and download PDF reports

able to take a snapshot of the sheet, turn it into a PDF, and automatically send that to a contact. For example, inside Sheetify bookkeeping, what we've done is created a custom menu. I mentioned this earlier, and then we created Reportify. So, we can choose the reports that we want to send to our email. For example, let's send monthly dashboard, which is this page here, and you can see you have sent a monthly report PDF to this email, which is an email we set in settings. Now, I'll show you what this looks like inside my inbox. And the simple email that's automatically sent will look something like this. As a user, I can click on this PDF, and that's going to show me a snapshot of that sheet. I can then download this if I like. Pretty cool, huh? Okay, let's close out of this and jump back over to Google Sheets. And again, I can navigate up to Sheetify, Reportify, and I can send all these different sheets, these reports, as a PDF to my inbox. So, basically, Google Sheets allows you to convert your data into a PDF and send it via email. Again, we've set up Reportify inside our Google Sheets CRM, project management, and bookkeeping templates. Let me know if you want to learn how to build this yourself. Again, this is a cool feature that I didn't know about a few years ago. Now, did you know you can generate a new row at the top of any of your sheets? This saves you time rather than

Generate a new row in Google Sheets

scrolling down and adding data at the bottom of your data set. Let me show you. Okay, so after a bit of time using Google Sheets to manage your data, we all know that you can have too much data, and you'll eventually have thousands and thousands of rows. This next feature is incredibly handy. Rather than scrolling down your data set and adding data to the bottom row, what we can simply do is navigate up to this custom menu, and you can create something like this. What we've done is created add new row, and this is on all of our sheets. If I click here, that's going to create a new formatted row up above, and we can add the new data up here. So, all new entries inside your data set can be added up above. This allows you to better manage your data inside of Google Sheets and saves you on scrolling through all your endless data to the very bottom to add an entry. This is a feature that we've added across all our Google Sheets business templates. Now, last but not least, and following on from adding a row to your data set

Scroll down in Google Sheets with a click

is the ability to automatically scroll down to the bottom of your data set by simply clicking a button. Let me show you. Again, similar to the last feature, rather than scrolling all the way down to find the bottom of your data, what we can do is simply navigate up to scroll down and go to last row. This is something that can be built inside of Google Sheets, and that's going to take you down to the lowest row where you have data in each of your sheets. Again, this is something we've created across all our Google Sheets templates. Essentially, these last two tools are for better navigation across Google Sheets. Again, this is something that can be built inside of App Script.
